Job Overview

Billing Specialist I (Invoicing & Accounts Receivable) is required to deliver billing and invoicing support to the Senior Bookkeeper and Chief Financial Officer.

Key responsibilities include generating monthly and quarterly invoices for designated contracts and grants. Specific invoicing tasks encompass preparing payroll and benefits summaries, distributing costs across various funding sources and expense categories, and documenting all expenditures with receipts, requisition orders, and other pertinent electronic records.

The role also involves compiling all necessary documentation into a comprehensive invoice package for submission to funders, uploading invoices to online platforms as necessary, maintaining both digital and physical billing and invoicing records, monitoring program spending against budgets, and reporting any potential discrepancies promptly. Additionally, the position requires responding to partner inquiries regarding invoice specifics and making adjustments as needed.

Cross-training in payroll functions and other financial activities is essential to provide support to the Senior Bookkeeper and CFO when required. The role also includes assisting the Senior Bookkeeper and CFO during audits and preparing ad hoc reports as requested by the CFO.

Applicants must possess a strong understanding of comprehensive bookkeeping systems and be capable of accurately managing electronic files and supporting documents to ensure the availability of current financial information for analysis at any time.

A High School diploma or GED is mandatory, along with a minimum of two years of bookkeeping experience encompassing all facets of bookkeeping systems. A combination of training and experience that would likely provide the necessary knowledge and skills may also be acceptable. Proficiency in advanced computer skills and experience with business software such as Sage 50, Excel, Outlook, Word, ADP, etc., is required. Candidates with prior experience in non-profit accounting are preferred, as well as those familiar with City Data Services reporting software or other grant reporting software programs. The ability to work independently and collaboratively as part of a team is essential.

Salary range is $62,000 - $75,362 annually, depending on experience, with an additional 5% for bilingual candidates (Spanish). A comprehensive benefits package is included, featuring dental and vision coverage. AA/EOE.
