POSITION SUMMARY
Reporting directly to the Practice Manager, the Healthcare Reception Specialist will be responsible for welcoming patients, managing phone communications, scheduling appointments, facilitating patient check-ins and discharges, collecting payments, and performing various administrative tasks.
KEY RESPONSIBILITIES
- Welcome and check-in patients, utilizing practice management software for scheduling, billing, and collections.
- Gather patient demographic information and accurately input it into the electronic medical record and practice management system.
- Confirm demographic and insurance details for all patients.
- Assist medical and clinic personnel with urgent patient requirements.
- Clarify payment policies and efficiently room patients in examination and treatment areas.
- Collect patient co-pays, deductibles, and payments for services, adhering strictly to the medical group's payment protocols.
- Ensure accurate data entry into the electronic medical record and practice management system.
- Schedule patient appointments in accordance with established guidelines.
- Respond to phone inquiries promptly and courteously, employing approved telephone etiquette.
- Exhibit exceptional telephone communication skills.
- Perform additional duties as outlined in the comprehensive job description.

EDUCATION AND EXPERIENCE
A high school diploma or equivalent (GED) is required, along with a minimum of three months (preferably six months) of relevant experience in a healthcare setting or customer service, or a combination of education and experience. Familiarity with medical terminology and an understanding of the medical insurance process is preferred. Candidates should be able to quickly learn about various patient types, including self-pay, insurance, Medicare, TriCare, workers' compensation, and occupational medicine patients.
Successful candidates will respond to patient needs with courtesy, empathy, and professionalism. A neat and professional appearance is essential. Attention to detail and strong organizational skills are required. Proficiency in computer usage, including familiarity with basic software applications, is necessary. Bilingual skills may be advantageous. The ability to work effectively under pressure and in fast-paced environments is crucial.
