Job Overview

Billing Specialist I (Invoicing & Accounts Management) is required to assist the Bookkeeper II and CFO in managing billing and invoicing tasks.

Key responsibilities include:

  • Preparing monthly and quarterly invoices for designated contracts and grants.

  • Allocating expenses across various funding sources and categories.
  • Documenting all expenditures with appropriate receipts and requisition orders.
  • Compiling all necessary documentation into a comprehensive invoice package for submission to funders.
  • Uploading invoices to online systems as necessary.
  • Maintaining both electronic and paper billing files.
  • Monitoring program spending against budgets and reporting any discrepancies promptly.
  • Addressing inquiries from partners regarding invoice specifics and making necessary adjustments.

This role also involves cross-training in payroll functions and other financial activities to provide support to the Bookkeeper II and CFO when required. The individual will assist during audits and prepare ad hoc reports as requested by the CFO.

The ideal candidate should possess a solid understanding of comprehensive bookkeeping systems and be adept at maintaining electronic files and supporting documents to ensure accurate fiscal information is available for analysis at any time.

Qualifications:

  • High School diploma or GED certificate is mandatory.
  • A minimum of two years of bookkeeping experience covering all aspects of bookkeeping systems is required.
  • A combination of training and experience that provides the necessary knowledge and skills may also be considered.
  • Proficiency in business software such as Sage 50, Excel, Outlook, Word, and ADP is essential.
  • Experience in non-profit accounting is preferred.
  • Familiarity with City Data Services reporting software or similar grant reporting software is advantageous.
  • Ability to work independently as well as collaboratively within a team.

Compensation: Salary ranges from $62,000 to $75,362 annually, depending on experience. An additional 5% is available for bilingual candidates (Spanish). A comprehensive benefits package, including dental and vision coverage, is offered. AA/EOE.
