Key Responsibilities- Prepare monthly and quarterly invoices related to specific contracts and grants.
- Conduct billing and invoicing tasks, including payroll and benefits summaries.
- Allocate costs across various funding sources and expense categories.
- Document all expenditures with appropriate receipts, requisition orders, and electronic records.
- Compile all necessary documentation into a comprehensive invoice package for submission to funders.
- Upload invoices to online platforms as required.
- Maintain organized billing and invoicing records in both Excel and paper formats.
- Monitor program expenditures against budgets and report any discrepancies promptly.
- Respond to inquiries from partners regarding invoice details and make necessary adjustments.
- Provide cross-training in payroll functions and other financial activities to support the Bookkeeper II and CFO as needed.
- Assist the Bookkeeper II and CFO during audit processes.
- Generate ad hoc reports as requested by the CFO.
A High School diploma or GED is required, along with a minimum of two years of comprehensive bookkeeping experience. A combination of relevant training and experience that provides the necessary knowledge and skills may also be considered.
Candidates should possess advanced computer skills and familiarity with business software such as Sage 50, Excel, Outlook, Word, and ADP. Experience in non-profit accounting is preferred, as is familiarity with City Data Services reporting software or similar grant reporting tools.
The ability to work independently as well as collaboratively within a team is essential.
Salary range is $62,000 - $75,362 annually, depending on experience, with an additional 5% for bilingual candidates (Spanish). A comprehensive benefits package is included, featuring dental and vision coverage. AA/EOE.
