The Communications and Events Specialist will join a small team of faculty and staff committed to supporting service-learning instructors, students, and community partners and to broadening and deepening Duke's involvement in high-impact, community-engaged pedagogies. S/he will work on a variety of tasks and develop skills in many areas, with significant roles in program administration, communications, and event coordination. The Communications and Events Specialist position is a PART-TIME position of 30 hours/week, eleven months a year (August-June) and reports to the Associate Director, Duke Service-Learning.

Occupational Summary

Coordinate administration, communications, and events for the Duke Service-Learning program in accordance with pre-determined goals and objectives.

Administrative: Support the office in tracking and managing the behind-the-scenes operations of classes, including the SLCE label, funding, and awards.
  • Monitor class enrollments through DukeHub to prioritize and promote service-learning courses.
  • Maintain updated mailing lists for faculty, students, staff, and a cumulative list for news and events updates. Update student list serves.
  • Manage the process for requesting course funding.
    • Facilitate faculty consultant review of applications, communicate decisions to applicants, facilitate budget transfers with Business Manager
  • Manage the transportation resources including, the Uber business account procedures, and booking vans or buses upon request.
  • Manage the process of administering the SL course designation each semester:
    • Verify which courses will be offered via surveys and DukeHub.
    • Update label application and publicize call for proposals.
    • Facilitate review of proposals and communicate decisions to faculty.
    • Work with the Registrar's Office, the Arts & Sciences curriculum office, and departmental DUSes/DUSAs to correctly label courses in DukeHub/STORM.
  • Maintain a historical database of service-learning courses, faculty, and community partners.
  • Track and reconcile monthly expenditures including service-learning assistant hours and expenditures, as they accumulate
  • Collect course, programmatic, and student data and prepare reports for the Duke Service-Learning team.
  • Participate in Duke Service-Learning team meetings and strategic planning sessions.
  • Perform other related duties incidental to the work described herein.
Communications/Marketing: Capture and promote the work of Duke Service-Learning.

Communications/Marketing tasks include, but are not limited to:
  1. Create an annual communications calendar with scheduled newsletters, event postings, course announcements
  2. Create newsletters for Duke Service-Learning stakeholders including students, faculty, and wider audiences of partners, alumni, and others
  3. Create an annual report in collaboration with the Duke Service-Learning team
  4. Document events with text, photos and/or video, and create shareable content.
  5. Maintain website content - update courses, events, stories, faculty resources, and more.
  6. Design marketing/promotional materials as needed (ads, posters, flyers, brochures, reports).
  7. Attend information sessions as requested. Plan and create informational materials about Duke Service-Learning for tabling displays.
  8. Manage Duke Service-Learning email and social media accounts.
  9. Oversee the work of Digital Communications Graduate student.
  10. Network with other Duke communication staff both to coordinate messaging and for professional development.


Events: Assist in planning Duke Service-Learning events and coordinate logistics.
  • Assist in planning and conceptualizing Duke Service-Learning workshops, dialogues, tours, information sessions, and meetings as needed.
  • Coordinate logistics for events Duke Service-Learning is hosting or participating in, e.g., space, transportation, parking, food, and handouts.
  • Promote Duke Service-Learning events and initiatives: create graphics and advertise on Duke calendar, social media, website, and via e-mail.
  • Collaborate with other faculty, staff, and student groups to co-sponsor events and initiatives, as requested.
  • Promote end-of-the-semester events in service-learning courses.
  • Attend events and represent the program to students, faculty, and other community stakeholders.

Minimum Qualifications

Education

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education

Experience

Work generally requires four years of clerical or research experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE to acquire strong skills in administrative or project research responsibilities as well as accepted office management, communications and research practices. A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.
