Position Overview: The Event Marketing Specialist will play a crucial role in supporting the marketing department as part of the Events team. This role is dedicated to the meticulous planning and execution of trade shows and events that align with the strategic goals of the organization. The Specialist will collaborate closely with the Senior Event Manager to enhance operational initiatives, create engaging experiences, and optimize project management processes.

Key Responsibilities:

  • Manage trade shows and events from inception to completion, ensuring all aspects are handled effectively.
  • Align with the marketing team's strategic objectives by providing impactful recommendations for relevant trade shows and events, including managing sponsorship contract negotiations.
  • Maintain a comprehensive calendar of trade shows and events throughout the year; lead the planning schedule for each event, ensuring timely execution of deliverables.
  • Coordinate with various departments to identify appropriate planning leads based on the event's focus and strategic goals.
  • Assist with logistical tasks such as registration, service rentals, catering, meeting room coordination, and hotel arrangements.
  • Oversee the budget for trade show and event participation, ensuring adherence to financial guidelines.
  • Ensure all necessary materials, including promotional items and supplies, are prepared and available for each event.
  • Facilitate the post-event debrief process by gathering and analyzing critical metrics and outcomes, leading discussions to collect feedback on participation.
  • Support the Senior Event Manager in developing and managing internal processes to uphold high standards of support for the organization.

Qualifications:

  • Minimum of 5 years of experience in planning and executing trade shows and events.
  • Experience in the biotech or healthcare sectors is essential.
  • Strong understanding of trade show logistics, systems, and terminology.
  • Proficient in managing multiple projects simultaneously with a keen attention to detail.
  • Familiarity with project management tools such as Outlook, Microsoft Teams, Smartsheet, and SharePoint.
  • Ability to obtain and maintain necessary security clearances.
  • Legal authorization to work in the U.S.
