Position Overview

The individual in this role will engage in a variety of responsibilities associated with the management of parking for special events and the implementation of traffic flow plans. Key tasks include the assembly and disassembly of equipment, development of intricate signage packages with distribution strategies, maintenance of equipment and signage inventory, creation and dissemination of operational guidelines for contract personnel, and execution of assigned duties during events. This position also involves delivering exceptional customer service to attendees and assisting the Special Events Manager by overseeing event staff on-site.

Key Responsibilities
  • Supervise and manage event personnel before, during, and after events, ensuring accurate records of contractor hours for billing purposes.
  • Operate independently with minimal supervision, making real-time decisions based on established policies, prior experience, and sound judgment.
  • Conduct pre-event briefings and post-event evaluations with contract staff regarding event plans.
  • Establish and nurture effective working relationships with event coordinators, university colleagues, and community leaders. Design signage packages for events of varying sizes.
  • Assist in maintaining an adequate supply of materials, including adhesive vinyl, coroplast, A-frames, cones, and barricades.
  • Keep precise records of costs associated with signage production, including quantities and materials used.
  • Collaborate with team members to ensure timely distribution and retrieval of equipment and signage.
  • Perform maintenance and repairs on special events equipment as necessary, including cleaning and upkeep of A-frames, barricades, and cones. Complete incident reports as required.
  • Carry out additional related duties as assigned.

Qualifications

Education: A general educational background equivalent to a high school diploma is required. Must possess or be able to obtain a valid driver's license.

Experience: A minimum of one year of experience in a role supporting events is required, or an equivalent combination of education and experience. Basic proficiency in Microsoft Word and Excel is necessary, along with strong communication and customer service skills.
