Position:
Event Sales & Execution Manager

Reports To:
Director of Sales & Marketing / Director of Food & Beverage

Overview:

The Event Sales Manager is responsible for driving catering and room revenue for the organization by leveraging both reactive and proactive sales strategies, enhancing revenue opportunities through upselling additional services, and collaborating with leadership to oversee the event team in delivering exceptional events.


Key Responsibilities:

Sales:


Develop a robust local client network through outreach, networking, and referrals, targeting various market segments.

Conduct property tours and represent the organization at industry events.
Meet and exceed revenue and booking targets.

Prepare and present reports as needed, including sales forecasts and action plans.

Optimize profit margins and event space utilization based on established pricing structures, exercising sound judgment.
Manage the complete sales cycle from initial inquiries to payment confirmation and follow-up communications.
Draft and finalize sales agreements in collaboration with team members to ensure profitable bookings.
Engage with clients post-event to gather feedback and secure future bookings.
Maintain comprehensive knowledge of services offered, responding to client inquiries with confidence and expertise.

Utilize industry-standard software to:
Maintain client records.
Document daily activities.
Generate necessary reports.
Create sales agreements.

Foster positive relationships with clients, groups, and colleagues across departments.
Manage client accounts, including tracking accounts receivable and ensuring accuracy in financial documentation.

Event Management:
Guarantee the successful execution of events, surpassing client expectations while adhering to profitability guidelines.
Plan and oversee all in-house events.

Take ownership of the entire process, from client inquiries to payment and follow-up, including menu selections, audio-visual requirements, and event setup.

Collaborate with the Director of Sales & Marketing, Food & Beverage Director, and Executive Chef to maximize profitability and optimize space usage.

Utilize creative skills to design innovative setups, menus, and experiences for groups.
Support marketing initiatives for new business and sponsored events.
Lead the execution of all client events, ensuring a seamless experience.
Implement efficient setup and teardown processes.
Interact with on-site contacts to address any requests.
Provide hands-on management during events.
Supervise Event Captains and the Banquet & Catering team.
Ensure compliance with internal and external deadlines across departments.
Reconcile client bills and ensure accuracy in financial reporting.

Qualifications:
Strong verbal and written communication skills.
Ability to work independently with minimal supervision.
In-depth knowledge of sales strategies and goal achievement.
Proficient in property management software for booking and tracking.
Understanding of the group sales process.
Ability to provide coaching and training.
Analytical problem-solving skills.
Capability to analyze financial statements and market data.
Team-oriented with a collaborative spirit.
Exhibit self-confidence, energy, and enthusiasm.
Present information clearly and concisely.
Effective listening and conflict management skills.
Strong time management and prioritization abilities.
Excellent negotiation skills to create mutually beneficial solutions.
Proficient in computer applications, including accounting software and Microsoft Office Suite.
Must pass a background check.

Education:
High school diploma or equivalent required; Bachelor's Degree preferred.

Experience:
Minimum of two years in event sales, with at least one year in a hotel setting preferred.

Travel Requirements:
Some local travel for client meetings and networking events may be required.
