The Service Coordinator position is responsible for day-to-day support of the field service team in the office and field environment. Duties and Responsibilities Answers customer and technicians service calls and inquiries. Creates, processes, tracks and files Customer Service Reports (CSR). Dispatches service team appropriately per geographical location, skill set, etc. Schedules and confirms routine, proposed, and call-in services accordingly. Contacts customers who require prior notice before going on site and/or with service updates. Sets up calendar invites with service project information to applicable technicians. Coordinates customer needs with Regen and Service. Reviews and corrects completed CSRs / work orders (undocumented parts, service labor). Documents field technicians follow-up comments from CSRs. Maintains customer log books and sheets. Inputs data for customer 3rd Party service tech requirements. Creates dedicated tank certificates for customers. Handles customers’ requests for missing paperwork. Downloads service manuals as needed. Creates and maintains multiple service calendars. Updates and maintains the daily, weekly, month, quarterly and yearly scheduling of services. Creates customer sanitization reports with signatures/forward to customer. Handles incoming customer complaints and assigns for follow-up. Matches proposals and customer POs to CSRs for Accounting. Updates contact information relating to Service (including but not limited to facility staff; new addresses; best point of contact, etc.) within Odoo. Keeps track of emergency and one-off services. Digitally files sample, sanitization, regen, and calibration certificates in appropriate customer folder. Oversees and adheres to all aspects of environmental, health and safety procedures, processes, protocols, and trainings administered company-wide. Follows adopted procedures to report accidents, hazards, incidents, or unsafe conditions to an immediate supervisor. Other duties may be assigned. Education, Experience, and Technical Knowledge High school diploma or equivalent 2+ years of administrative or accounting support experience Strong computer skills in Microsoft Word, Excel, and manufacturing software Strong communication and organizational skills
