Compensation: $50,000-$60,000 (negotiable based on experience)

Key Responsibilities:

  • Manage and direct all incoming phone communications, providing assistance and routing calls as necessary.
  • Exhibit a proactive approach to resolving customer and property maintenance concerns.
  • Welcome visitors and clients with professionalism.
  • Organize and distribute all incoming correspondence.
  • Prepare and dispatch outgoing mail and packages, including certified and special deliveries.
  • Draft general correspondence and memos as required.
  • Maintain and file all documents related to Vendors and Customers accurately.
  • Establish and uphold various filing systems to ensure organization.
  • Keep employee, client, and customer contact databases current.
  • Compile and prepare reports for distribution efficiently.
  • Order and manage departmental office supplies to ensure adequate stock.
  • Coordinate conference room bookings effectively.
  • Organize departmental lunches, meetings, events, and travel arrangements.
  • Facilitate customer meetings, training sessions, and events.
  • Assist in coordinating customer move-ins and move-outs.
  • Oversee tenant and vendor insurance certificates.
  • Prepare purchase orders, contracts, and amendments as needed.
  • Coordinate vendor access to properties.
  • Distribute essential documents to Lease Administration, including insurance certificates and legal notices.
  • Update Building and Tenant Manuals regularly.
  • Monitor work orders in the management system and ensure timely responses to all requests.

Qualifications:

  • 1-3 years of relevant administrative experience, preferably in the Real Estate or property management field.
  • A college degree is preferred; however, a high school diploma is mandatory.
