Compensation: $50,000-$60,000 (negotiable based on experience)

Key Responsibilities:

  • Manage and route all incoming phone communications, providing assistance and directing calls to the relevant personnel.
  • Exhibit a proactive approach to resolving customer inquiries and building maintenance concerns.
  • Welcome visitors and clients with professionalism.
  • Organize and distribute all incoming correspondence.
  • Prepare and dispatch outgoing mail and packages, including certified and express deliveries.
  • Draft general correspondence and memos as needed.
  • Maintain and file all documentation for vendors and clients accurately.
  • Establish and uphold various filing systems to ensure organization and accuracy.
  • Keep employee, client, and customer contact databases current.
  • Compile and prepare reports for distribution in a timely manner.
  • Order and manage departmental office supplies to ensure availability.
  • Coordinate all conference room bookings efficiently.
  • Plan and organize departmental lunches, meetings, events, and travel arrangements.
  • Facilitate customer meetings, training sessions, and events.
  • Assist in the coordination of customer move-ins and move-outs.
  • Oversee tenant and vendor insurance documentation.
  • Prepare purchase orders, contracts, and amendments as required.
  • Coordinate vendor access to properties.
  • Distribute essential documents to Lease Administration, including insurance certificates and legal correspondence.
  • Update and maintain Building and Tenant Manuals.
  • Monitor work orders and ensure timely responses to all requests.

Qualifications:

  • 1-3 years of relevant administrative experience, preferably within the Real Estate or property management field.
  • A college degree is preferred; however, a high school diploma is mandatory.
