About the Program and Position:

Our Transitional Foster Care Program for Unaccompanied Children (UC) overseen by the Office of Refugee Resettlement (ORR), ensures the well-being and safety of unaccompanied children (ages 0-17) who cross the US Southern border without an adult. Unlike traditional congregate care settings, our approach involves placing unaccompanied children in foster homes while diligently searching for and assessing potential sponsors identified in the US. During their stay with us, we provide medical care, case management, engaging life skills classes, and essential mental health services.

While maintaining a positive and collaborative attitude, provide administrative support to the departments reporting to the Executive Vice President of UC TFC. Responsibilities include gathering and tracking data and compiling reports, conducting research, preparing meeting agendas and minutes, maintaining files, and issuing correspondence. The position requires involvement with sensitive information, necessitating considerable use of tact, diplomacy, discretion and judgment.

How you get to use your skills…

  • Provide administrative support to the Executive Vice President of UC TFC

  • Project a professional, friendly and helpful presence

  • Handle incoming and outgoing communications on behalf of the Executive Vice President, including emails and phone calls

  • Coordinate and manage events, including conferences, program functions, and other events/needs for the Executive Vice President

  • Coordinate with staff members and departments as needed

  • Provide clerical support using Microsoft Office and Google Workspace

  • Assist with organizational and clerical duties as assigned

  • Utilize a variety of sources to conduct research for various projects

  • Prepare meeting agendas and minutes

  • Ability to proactively address issues and find effective solutions

  • Ability to prioritize and multitask effective in a fast paced environment

  • Some travel required

  • Provide personal assistance

  • Audit UC Files

  • Be knowledgeable of ORR Policy and Procedures

  • Write/edit policy and procedures

Schedule:

  • Regular hours entail 9:00am - 5:00pm, Monday - Friday

  • Must be flexible to meet program needs

  • Exempt position



  • Bachelor's degree preferred. Associates degree required.

  • Experience working in a busy human services office- strongly preferred

  • Strong communication and organizational skills and ability to handle numerous tasks - required

  • Strong skills in Microsoft Office including Word, Excel, PowerPoint, and Gmail applications

  • Knowledge of clerical and office procedures

  • Ability to handle confidential material in a responsible manner

  • Ability to work effectively in a team context

  • Demonstrated ability to perform duties with minimal supervision and to exercise greater judgment

  • NYS Driver's License required

  • Bilingual speaking - English/Spanish required

  • Ability to travel to other agency locations

Physical Requirements:

  • Word processing: Including responding to e-mails, composing letters, completing computerized documentation, transcribing minutes for meetings, etc.: This involves sitting at a computer for a minimum of 5 hours and could be up to 7 hours a day depending on program needs

  • Lifting of Agency file books - weighing approximately 6-8 lbs. each - 5 inch binders

  • Completing paperwork -Such as copying and stapling

  • Answering phones, processing mail, filing, lifting packages

  • Walking up/down stairs
