Position Overview

Cayuga Centers is seeking an Administrative Coordinator to support the Executive Vice President of UC-TFC.

Annual Compensation: $65,000

Program and Role Description:

The Transitional Foster Care Program for Unaccompanied Children (UC) is dedicated to ensuring the safety and well-being of children who arrive in the U.S. without adult guardians. Our unique approach places these children in foster homes while we actively seek suitable sponsors. During their stay, we offer comprehensive medical care, case management, life skills training, and vital mental health services.

In this role, you will provide essential administrative support to the Executive Vice President of UC TFC. Your responsibilities will include:

  • Gathering and organizing data for reports
  • Conducting research and preparing meeting agendas
  • Maintaining organized files and managing correspondence
  • Handling sensitive information with discretion and professionalism

Key Responsibilities:

  • Deliver administrative assistance to the Executive Vice President
  • Maintain a professional and approachable demeanor
  • Manage communications, including emails and phone calls
  • Coordinate events and meetings as required
  • Utilize Microsoft Office and Google Workspace for clerical tasks
  • Conduct research to support various projects
  • Prepare meeting documentation and minutes
  • Address issues proactively and develop effective solutions
  • Prioritize tasks in a dynamic work environment
  • Some travel may be necessary
  • Provide personal assistance as needed
  • Audit and manage UC files
  • Familiarize yourself with ORR policies and procedures
  • Assist in writing and editing policies

Work Schedule:

  • Standard hours: 9:00 AM - 5:00 PM, Monday to Friday
  • Flexibility required to meet program demands
  • Exempt position

Qualifications:

  • Bachelor's degree preferred; Associate's degree required
  • Experience in a busy human services environment is strongly preferred
  • Excellent communication and organizational skills
  • Proficiency in Microsoft Office applications
  • Understanding of office procedures and confidentiality
  • Ability to work collaboratively in a team setting
  • Demonstrated capability to work independently with sound judgment
  • Valid NYS Driver's License required
  • Bilingual in English and Spanish is necessary
  • Willingness to travel to various agency locations

Physical Requirements:

  • Prolonged periods of sitting while using a computer
  • Ability to lift agency files weighing approximately 6-8 lbs.
  • Perform tasks such as copying, stapling, and filing
  • Answer phones and process mail
  • Mobility to walk up and down stairs
