The Office Manager is responsible for day-to-day organization and operation of the corporate office. The office manager is a main point of contact for employees and Beach Front’s clients. As Beach Front is a growing company, it is imperative that the Office Manager is constantly looking for ways to improve current systems and processes, is willing to create and implement change.


Position Type: Full-Time, Non-exempt

Location: Corporate Office – Long Beach, CA

Workdays: Monday to Friday, 8:00 AM to 5:00 PM

Hourly rate: $67,000 to $73,000 annually


Essential Functions of this position include but are not limited to:

  • Supervise reception and administrative staff including hiring, reviewing and terminating
  • Track and maintain property insurance, ensure there is no lapse in coverage for Beach Front on every property (COLI)
  • Organize and direct new property and client onboarding including drafting and sending property management agreements; Ensure property onboarding is completed by team members
  • Vendor management for corporate office including research/quoting, negotiate and sign contracts, corporate purchase orders and invoice approval
  • Facilities management by ensuring all aspects of the corporate office building is functioning properly including rentable spaces
  • Maintain inventory standards and ensure office is equipped with proper supplies
  • Main point of contact for any operational and technical questions from corporate office staff
  • Purchase, distribute, and maintain permanent listing of all furniture, fixtures and computer equipment, including laptops, keyboards, monitors, desk phones, and mobile devices
  • Implement new policies and procedures with approval from Leadership Team
  • Work closely with Human Resources and Executive Team to cascade procedures and ensure office policies are followed by all
  • Promote a positive work environment by planning and executing team activities, otherwise known as the “Fun Committee”
  • Oversee and maintain office calendar bookings
  • Oversee and approve all purchases for corporate office
  • Hold meetings and trainings as needed
Requirements:

The skills and qualifications of this position include but are not limited to the following:

  • Proficient in Office 365 and SharePoint
  • Operations, Facilities, and Employee Management experience
  • Ability to stay organized in a fast-paced, changing environment
  • Excellent written and verbal communication skills
  • Ability to make decisions and problem solve
  • Time management and ability to multitask and prioritize work


Travel Requirements: Approximately 25% of travel for this position requires you to have reliable transportation.
