POSITION: Human Resources Specialist

LOCATION: Fort Worth, Texas (Administration)

OVERVIEW: Legal Aid of NorthWest Texas (LANWT) is seeking a Human Resources Specialist to perform diverse administrative duties and provide support in a variety of human resources functions.

DESCRIPTION: LANWT is a non-profit public interest law firm that provides high-quality free civil legal services to low-income persons in 114 counties in North and West Texas. With approximately 300-400 full and part-time employees, including both union and non-union workers, the organization delivers legal services in a diverse and challenging service area.

DUTIES AND RESPONSIBILITIES: As part of the Human Resources Team, the Human Resources Specialist will assist with initiatives in the areas of recruitment and selection, performance management, employee and labor relations, benefits, compensation, payroll, leave absence management, training, employee safety (risk management)/wellness, recognition programs and employee communications. Other responsibilities of this position include:

  • Support LANWT onboarding and off-boarding activities by assisting with pre-hire activities including processing job requisitions, coordinating the job posting process both internally and externally, including new positions, closing filled positions, processing applications, and ensuring consistent processes are documented and followed.
  • Coordinate the administrative aspects of candidate correspondence including offer and rejection letters, interview scheduling, phone and written communication, and conduct pre-employment activities including background and reference checks, employment verifications, and various other employment inquiries.
  • Prepare and assist with the timely processing of new hire paperwork to include welcome letters, benefit elections, and scheduling new employee orientation. Schedule exit interviews for separating employees and distribute results to the Human Resources Director.
  • Assist in the coordination, implementation, operation, reporting and evaluation of the LANWT employee benefits programs including, but not limited to, preparing communication materials, arranging for external printing of enrollment materials, interacting with vendors on program changes or employee elections, create and maintain employee benefit files, process employee benefit(s) changes on vendor portals, file benefit documents, remove terminated employee files and perform other related file maintenance.
  • Coordinate and process bi-weekly payroll accurately and timely, including but not limited to, verification of timecard submissions, compilation of data, manual input, and payroll reporting. This may include partnering with the payroll vendor, partners and managers to ensure that records are accurately updated and enter new and existing employee data in the payroll system and answer payroll related inquiries.
  • Audit I-9 files semi-annually and ensure compliance on an on-going basis according to regulatory guidelines. Establish and maintain employee personnel files. Update employee files to document personnel actions and to provide information for payroll and other uses. Maintain and audit personnel files to comply with LANWT standards and appropriate regulations. Organize and maintain various Human Resources files, documents, and records.
  • Assist the Human Resources Department with data entry and other clerical support.
  • Ensure the effective and timely handling of incoming calls, incoming and outgoing mail distribution, ordering supplies, office correspondence, emails, faxes and mailings.
  • Compose routine correspondence, reports, documents, and spreadsheets. Assist in the preparation of presentations on a variety of Human Resources topics.
  • Coordinate and schedule events, conferences, meetings, travel, conference rooms, luncheons, and logistics.
  • Assist with the development, testing and implementation of new automated Human Resources tools and processes.
  • Interact positively with staff, co-workers, and clients and build strong relationships with employees and management.
  • Assist with special projects and activities as needed.
  • Perform other related duties as assigned.

QUALIFICATIONS:

  • High school diploma or GED required.
  • A minimum of 3 years’ experience handling administrative responsibilities, preferably supporting a Human Resources department.
  • A minimum of 2 years’ experience with MS Office Suite to include Word, Excel, PowerPoint, and Outlook.
  • Ability to work in a team environment with multiple and varied customers while working with sensitive and confidential information.
  • Ability to adapt quickly to new processes, procedures, systems and challenges.
  • Ability to provide high-quality customer service in a professional manner, communicating clearly and confidentially.
  • Ability to establish priorities and meet deadlines.
  • Ability to engage in occasional work-related travel.
  • Ability to think strategically, problem solve and be proactive and solution based.
  • Ability to work with minimal supervision.
  • Must be dependable with a good attendance record.
