Job Title: Office Coordinator – Part-time (20 hours per week)

Reports To: Executive Assistant

Location: Minneapolis

OVERVIEW

Provide administrative support to our agency and Executive Assistant. This role is responsible for performing a variety of duties including managing office communications, on-site meetings, and facilitating key administrative tasks to ensure efficient operations of our office environment. Must be able to be present in the office 4 days a week to provide a “front office” presence by welcoming guests in person as well as maintaining office supplies, providing technical support/troubleshooting assistance, and keeping conference rooms, storage unit, common areas and break area/kitchen clean, organized and adequately stocked.

RESPONSIBILITIES & SKILLS

  • Assist Executive Assistant with planning and coordination of group meetings and corporate events including set up/clean up, assembling of reports, presentations, agendas and coordinating technology and catering for both client and agency meetings
  • Oversee day-to-day administrative operations, including supporting Capture by Curious Plot (the content studio) as required, scheduling meetings, maintaining office supplies, as well as copying, reviewing/sorting/distributing incoming/outgoing mail, scanning and filing documents, drafting correspondence, screening incoming correspondence/inquiries, and all other administrative duties assigned
  • Ensure operation of office equipment by completing preventive maintenance, troubleshooting malfunctions, and scheduling repairs
  • Ensure proper filing, documentation, and record-keeping systems are in place and maintained as requested
  • Management of deliveries to/from the office including FedEx scheduling support
  • Support with building management tasks, including parking validation and conference room scheduling (TractorWorks)
  • Coordinate sending client and employee gifts
  • Manage mainline voicemail
  • Additional duties assigned by Executive Assistant

EDUCATION & EXPERIENCE

  • 1+ years progressive experience in office coordination/management
  • Knowledge of general operating procedures
  • Strong organizational skills
  • Experience in Microsoft Office Suite, particularly Outlook, PowerPoint, and Excel
  • Knowledge of agency dynamics and office support
