SCHEDULE:           M-TH, 12:00 PM – 8:00 PM and F 9:00 AM – 5:00 PM
LOCATION:            Onsite
COMPENSATION:  $20.60 per hour, benefit eligible


Job Summary
The Office Coordinator supports the operation of MacPhail Center for Music in Austin, and provides service to the public, students, and faculty.  This position develops close working relationships with members of an assigned faculty group for the purpose of supporting the faculty and MacPhail administration.

RESPONSIBILITIES
  • Respond to customer needs through phone and front desk reception; interpret MacPhail’s programs, policies and procedures as needed.
  • Coordinate placement process for Individual Instruction at the site.
  • Process student registrations and payments; design tuition payment plans as necessary.
  • Oversee space scheduling on a daily, weekly and semester basis for the site.
  • Determine daily teaching schedules of site faculty including new students; update the database with current information.
  • Perform various administrative tasks/responsibilities to support department and faculty.
  • Process cash deposits and cash drawer close outs on a weekly and monthly basis.
  • Perform retail transactions including making change, practice room rentals, sale of parking cards and t-shirts, etc.
  • Prepare faculty payroll entries for Director review, process payroll with Director approval. 
  • Provide support to Director for staffing and hiring.
  • Collect and maintain updated schedule of Sing Play Learn (SPL) and School Partnerships (teachers, offerings, etc.).
  • Prepare letters of agreement with all community partners; complete and send out confirmation letters and calendars for teachers in partnerships.
  • Coordinate schedules with MacPhail Minneapolis regarding Online School (and SPL) Partnerships
  • Schedule meetings with faculty and partners as needed.
  • Consistent and reliable attendance in the office is essential for the success of this role due to the high level of collaboration and customer facing interactions required.
  • Compliance with our COVID-19 policies.
  • Other related duties as assigned.
QUALIFICATIONSEducation:  High-school diploma or equivalency.  B.A. preferred                                                                                                                        

Experience:  3-5 years’ job related experience.

Knowledge and Skills:  Excellent customer service and communication skills.  Microsoft Office proficiency.  Knowledge of registration systems or sequential databases preferred.  Knowledge of cash registers, and high-volume telephones.  Ability to retain information, multi-task, and prioritize projects and functions.

Physical Demands:  Infrequent lifting and carrying of up to 10 lbs.  Frequent transition from sitting to standing.  Sitting up to 1 hour at a time; standing up to 1 hour at a time.
