Organize and coordinate administration duties and office procedures. Create and maintain a pleasant, clean work environment, ensuring high levels of organizational effectiveness and communication. Administrative support to the Emerald Blue MN office team and overall business.

Requirements:

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Answer and screen telephone calls, greet visitors, respond to information requests, and compose correspondence.
  • Manage and maintain office condition and arrange necessary repairs.
  • Perform daily conference room audits & surface cleans
  • Manage, maintain and order stock in the printing center; envelopes, paper in copier and other supplies as required ( daily, weekly)
  • Daily upkeep and cleanliness of the kitchen, coffee makers, dishwasher, and fridge
  • Serve as point person for mailing, office supplies, and Fed Ex shipping.
  • Facilitate the process for ordering, distributing, and maintaining uniform program.
  • Weekly watering of office plants
  • Maintaining vending machine and kitchen inventories; both ordering and stocking.
  • Maintain up to date organizational charts utilizing MS Visio
  • Coordinate meetings, conference calls and catering; oversee conference room scheduling, arrange appointments and provide necessary reminders.
  • Day to day business support including booking hotels for crews, facilitating web/online used furniture sales inquiries.
  • Manage the calendar schedule and digital repository of key business contracts and associated dates of importance with respect to the contracts; update SVP/GM regularly.
  • Process all Certificates of Insurance for all Omni Workspace Companies
  • Partner with Marketing to plan in-house or off-site activities such as meetings, parties, celebrations, and conferences. This includes support during events and clean-up.
  • Will have access to sensitive information, therefore maintains confidentiality in all areas of job responsibilities.
  • Communicate effectively internally and externally on behalf of the business.
  • Performs other responsibilities as directed by Emerald Blue Senior Staff


SKILLS / REQUIREMENTS / QUALIFICATIONS

  • Proven experience as an Office Administrator
  • Ability to multitask, prioritize daily workload, handle multiple projects or tasks while effectively prioritizing to meet deadlines and maintain high quality of work.
  • Excellent written and verbal communication skills
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (Excel, Outlook, Teams, SharePoint, etc.)
  • Hands on experience with office machines (i.e. fax and printers)


REPORTING/WORKING RELATIONSHIPS:

Supervision: Does not have direct reports



MINIMUM REQUIREMENTS:

  • Undergraduate degree preferred.
  • 1-3 years Office Administration experience preferred.
  • Proficient with Microsoft office tools; including PowerPoint, Outlook, Excel, Visio, etc.


DESIRED REQUIREMENTS:

  • Experience in the following industries would be helpful but not required: Furniture Services Industry or Furniture Installation, Construction, Real Estate or Property Management, B2B Software business, A&D.
  • Hands on individual who helps others on the team when needed.
