We are seeking a highly organized and proactive Administrative Assistant to support two sales executives and to provide some basic office support. The ideal candidate will be detail-oriented, possess excellent communication skills, and be able to manage multiple priorities efficiently.

 

Key Responsibilities:

  • Provide comprehensive administrative support to the assigned Executives.
  • Manage the assigned Executives’ calendar, including scheduling meetings, appointments, and travel arrangements.
  • Complete expense reimbursement in accordance with company policy and procedures.
  • Prepare and organize documents, reports, and presentations for meetings and events.
  • Serve as the primary point of contact for internal and external communications on behalf of the assigned Executives.
  • Coordinate and manage office supplies and equipment, ensuring the office operates smoothly.
  • Cover the front desk, greet visitors, and handle incoming calls and correspondence.
  • Assist with the planning and execution of events and meetings, including logistics and catering.
  • Maintain confidential and sensitive information with discretion and professionalism.
  • Keep regular business hours on behalf of the Executive Staff (8:00 am-5:00 pm).
    • Be available by phone or email after hours as needed, especially when the assigned Executives are traveling.
  • Other duties as assigned.

 

Qualifications:

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred
  • Minimum one year as an administrative assistant for a senior-level executive
  • Office management/office support experience preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Professional demeanor and ability to interact with all levels of the organization
  • Attention to detail and problem-solving skills
  • Ability to handle confidential information with integrity
