Job Description

JOB SUMMARY

The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. Supports remote offices as needed. This position will provide primary backup/break coverage for the receptionist.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties as assigned.
• Responsible for planning and coordination of office staff activities to ensure maximum efficiency
(working with outside vendors for catering, space planning, employee morale activities, and
managing/coordinating communications internally)
• Coordinate conference room events (scheduling meetings and trainings, space
planning, catering, equipment, etc.)
• Assist with travel arrangements for internal staff/external staff and visitors.
• Ensure security and confidentiality of data.
• Serve as on-site POC for office services with external vendors (water coolers, vending, cleaning, floor
mats, shredding, etc.)
• Monitor and maintain office supplies inventory.

• Maintain KanBan ordering system and submit order requests as needed.
• Monitor and maintain coffee and cafeteria supplies.
• Assist and backup reception duties.
• Assist Human Resources with essential onboarding tasks (workstation preparation, name plate
printing, etc.)
• Assist managers/departments with any special requirements for individual projects.
• Complying with all ICC Policies as defined in the ICC Employee Handbook.
• Pursuing continuous improvement through training and process improvement
• Complying with all applicable elements of ICC Quality Management System
• Perform, manage, or coordinate multiple assignments or projects simultaneously.

EDUCATION/EXPERIENCE:

  • High school/GED graduate.
  • 1 year of clerical work experience.

SKILLS AND REQUIREMENTS:

  • Must be a US Citizen due to US Navy Contractual Agreements.
  • Proficient in Microsoft Office Suite or related software.
  • Competent with database programs.
  • Familiar with Apple operating systems or devices.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to organize and prioritize work.
  • Ability to work independently.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

PHYSICAL REQUIREMENTS:

While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Sedentary work. Exerting up to 15 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.  Substantial movements (motions) of the wrists, hands, and/or fingers (paperwork, typing, using mouse/keyboard). The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Prolonged periods sitting at desk and working on a computer.

Position is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work.)
