Administrative Assistant

This position is responsible for coordinating research efforts. Preparing revenue reports, invoicing, and dispersing provider payments for the research program. Responsible for preparing IRB submissions and maintaining study regulatory files. Prepares for study start up, enrollment, and follow up appointments, and tracks study subjects. Plans and schedules meetings as needed. Proficient in computer software applications, and web portals. Performs other diverse duties as assigned.
Responsibilities:
(25%)* Prepares screening, enrollment, and follow up patient visit materials and maintains database for tracking study subjects.
(25%)* Tracks line item revenue through Clinical Trials Management System (CTMS), invoices sponsors as appropriate, prepares quarterly financial disbursements to providers, develops and prepares budget reports.
(25%)* Maintains study regulatory files both electronically and in binders. This includes updating provider and staff credentials, as well as multiple department requirements.
(25%)* Prepares and submits study documents to MyMichigan Health IRB while tracking study amendments to ensure time sensitive documents are implemented.
OTHER DUTIES AND RESPONSIBILITIES:
Receives and logs study drug, maintains temp reports and regulatory maintenance check reports. Logs study Safety Reports and submits to IRB.
Coordinates study monitor visits, obtaining EMR access and training, and collaborates to clarify any regulatory issues while monitor on site.
Reviews and approves patient research billing with Research RN input.
Plans and arranges facilities and services in conjunction with program events, including study monitors, site visitors, participating faculty and research subjects.
Provides receptionist support to the front office and coordination of research efforts. Coordinates meetings,prepares agenda and takes minutes as needed.
Assists in the recruitment, enrollment and orientation of study subjects.
Ordering front office supplies and forms.
Exhibits excellent written and verbal communication skills. Ability to work evenings and weekends when required.
Maintain and analyze data and evaluate program effectiveness and impact.

EXPERIENCE, TRAINING AND SKILLS:
Knowledge of medical terminology and medical office practices, policies and procedures as normally acquired through two (2) years of experience working in the medical center or similar setting.
Finance and accounting experience including accounts receivables and collections.
Excellent knowledge of personal computer and typing skills including data web-based software.
Interpersonal skills needed to communicate successfully with individuals and groups and interact with people at all levelsto communicate ideas and conceptsin a clear and understandable manner.
Prefer 1 to 3 years’ experience with credentialing, fiscal reporting, and clinical trial policies, procedures and regulations.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.
Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.
Overall vision and hearing is necessary with or without assisted device(s).
Frequently required to sit/stand/walk for long periodsof time. Mayrequire frequent postural changes such as stooping, kneeling or crouching.
Some exposure to blood borne pathogens and other potentially infectious material. Must follow MidMichigan Health blood borne pathogen and TB testing as required.
Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.
Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.
Physical Demand Level: Sedentary. Must be able to occasionally (0-33% of the workday) lift or carry 0-10 lbs.
