Job Description for Office Administrative / Manager:
This role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication to all levels of employees.
- Answer telephone calls and emails from customers and clients and directing then to relevant staff.
- Monitor office supplies and ordering new stationery, furniture, and electronics as required.
- Maintain the office condition and arrange necessary repairs.
- Coordinate with IT department on all office equipment.
- Manage contract and price negotiations with office vendors and service providers.
- Provide general support to visitors.
- Create, maintain, and organize databases and excel spreadsheet.
- Prepare letters, presentations, and reports.
- Help in coding and processing invoices.
- Stay updated on technical and professional information.
- Partnering and coordinating with accounts payable/ receivable for handing run tickets and entering tickets into ProCount.
Requirements:
- Must be able to work independently and in a team environment.
- Excellent written and verbal communication skills
- Highly detailed and multi-tasking skills
- Quick learner, adaptable to new processes
- Strong organizational skills and planning skills
- Proficiency in MS office (MS Excel and MS Outlook, in particular)
- Hands on experience with office machines (e.g. fax machines and printers)
- Reliability and discretion: you will often learn of confidential matters.
- High School degree: additional qualification as an Administrative Assistant or Secretary will be a plus.
