Job Description for Office Administrative / Manager:

This role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication to all levels of employees.

  • Answer telephone calls and emails from customers and clients and directing then to relevant staff.
  • Monitor office supplies and ordering new stationery, furniture, and electronics as required.
  • Maintain the office condition and arrange necessary repairs.
  • Coordinate with IT department on all office equipment.
  • Manage contract and price negotiations with office vendors and service providers.
  • Provide general support to visitors.
  • Create, maintain, and organize databases and excel spreadsheet.
  • Prepare letters, presentations, and reports.
  • Help in coding and processing invoices.
  • Stay updated on technical and professional information.
  • Partnering and coordinating with accounts payable/ receivable for handing run tickets and entering tickets into ProCount.

Requirements:

  • Must be able to work independently and in a team environment.
  • Excellent written and verbal communication skills
  • Highly detailed and multi-tasking skills
  • Quick learner, adaptable to new processes
  • Strong organizational skills and planning skills
  • Proficiency in MS office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Reliability and discretion: you will often learn of confidential matters.
  • High School degree: additional qualification as an Administrative Assistant or Secretary will be a plus.
