POSITION OVERVIEW
We are looking for an organized and analytical Administrative Assistant/Warehouse Attendant, with exceptional communication and problem-solving skills to handle office duties, service coordination, and admin-related operations. In this role you will field interdepartmental/customer communications, perform office tasks, coordinate service activities, respond to communications, and oversee all administrative and warehousing activities. The ideal candidate should be committed to providing attentive support for internal and external parties and be skilled at various office tasks. Top-notch administrative personnel are courteous, proactive, and well-organized professionals who bring creative solutions to administrative problems. This individual will be responsible for the overall effectiveness of office operations, and will contribute heavily to process streamlining. RESPONSIBILITIES
• Maintain an electronic filing system and manage/organize shared folders
• Draft memos, email communications, and presentations
• Draft, update, and maintain organizational policy and procedure documents
• Review activity reports and other performance data to create and communicate performance metrics
• Manage agenda development for team meetings, take notes, and provide continuity for action items
• Serve as a focal point of communication for customers and employees
• Identify complex problems and review related information to develop and evaluate options and implement solutions
• Utilize a consultative approach with customers, and work to drive customer satisfaction
• Promote, support, and facilitate teamwork and foster a positive/helpful culture
• Support sales operations through quoting, order processing, and preparation of product deliveries
• Optimize and plan service schedules and communicate effectively with all levels of staff
• Support service and rental operations through intake and preparation of rental orders
• Actively participate in all scheduled company meetings, conference calls etc.
• Schedule meetings, answer phones, and maintain digital and physical records
• Oversee shop and remote inventory efforts, controls, warehousing, and delivery operations
• Ensure accuracy and timeliness of all paperwork and training requirements
• Ensure that the office is well-maintained, clean/organized, and secure
• Assist with special projects such as process improvements and budget development
• Develop and implementing new policies and processes
• All other duties as assigned by leadership
Requirements:DESIRED QUALIFICATIONS
• 3+ years of experience in administrative and warehousing activities
• High school diploma or equivalent
• Advanced skills in Microsoft Office, including PowerPoint, Excel, and Outlook
• Ability to work in a collaborative and fast-paced environment with minimal assistance
• Ability to sit, stand and/or walk for 8+ hours per day
• Must be able to lift at least 50 lbs regularly
• Must possess a current/valid Driver’s License issued in the U.S., and your own transportation
• Ability to consult with customers and employees to address their challenges
• Excellent written and verbal communication skills
• Highly self-motivated and results-oriented
• Strong presentation, organization, multitasking, and time management skills
• Proficiency with office technology/equipment, including printers, copiers, scanners, and computers
• Creativity and strong problem-solving skills
