The Executive Assistant will work closely with the Chairman and CEO of Nanobiosym. This pivotal role emphasizes the importance of ensuring that the organization functions smoothly and efficiently. Success in this position necessitates a natural talent for fostering strong, trusting relationships throughout the organization.

The Executive Assistant will manage internal communications and represent the CEO to various external stakeholders, including clients, collaborators, and potential business partners.

This role demands a proactive, self-driven, intelligent, and emotionally astute individual who flourishes in a fast-paced, dynamic environment within a complex and rapidly evolving industry.

This individual is expected to anticipate needs and challenges, providing logical, innovative, and creative solutions without needing explicit instructions.

They will be responsible for communicating changes in priorities and decision-making effectively, while managing multiple projects and prioritizing tasks according to the needs of the CEO and the organization.


KEY RESPONSIBILITIES
Serve as a strategic advisor to the CEO, ensuring that objectives are met and priorities are communicated clearly.

Act as the primary point of contact for both internal and external communications.

Enhance the efficiency of business operations from behind the scenes.

Ensure that long-term initiatives are executed in an effective, cost-efficient, and diligent manner.

Collaborate with internal staff to prepare briefing materials for the CEO.

Draft executive summaries and provide daily briefings to the CEO on specific issues and projects.

Manage the CEO's extensive travel and meeting schedule, including logistics, accommodations, and speech preparation, as well as other needs as they arise.

Organize meetings, conferences, and receptions:
Coordinate participant invitations, facility scheduling, vendor negotiations, and ensure all necessary materials are prepared.

Be available around the clock.

Handle significant correspondence on behalf of the CEO.

Establish and maintain several long-term relationships on behalf of the CEO.

Manage public relations with national and international media outlets.

Compose and oversee correspondence regarding sensitive and confidential matters.

QUALIFICATIONS
At least 15 years of relevant experience.

Graduate degree preferred.

Experience in operations, administration, or a startup environment is advantageous.

Strong negotiation and interpersonal skills.

Excellent analytical abilities.

Commitment to hard work, taking direction, and anticipating challenges and solutions independently.

Exceptional verbal and written communication skills, with a proven ability to craft correspondence and content with a nuanced understanding of industry-specific topics, company standards, and procedural guidelines.

Ability to thrive under tight deadlines and adapt to rapidly changing demands.
