Role Overview

We are looking for a highly organized and proactive Executive Assistant to deliver extensive administrative support to our property management division. The ideal candidate will excel in multitasking, possess outstanding communication abilities, and demonstrate meticulous attention to detail. This position demands an individual who can foresee requirements, prioritize responsibilities, and uphold confidentiality in a dynamic work environment. The Executive Assistant will be instrumental in facilitating the seamless operation of our office and boosting the productivity of our leadership team.

Key Responsibilities

  • Oversee calendars, including organizing meetings, appointments, and travel logistics.
  • Manage and prioritize incoming communications, such as emails and phone calls, responding or redirecting as necessary.
  • Draft and refine correspondence, reports, presentations, and various documents, ensuring precision and professionalism.
  • Assist in organizing meetings and events, including logistics, agenda preparation, and minute-taking.
  • Conduct research and gather information for diverse projects and initiatives as required.
  • Act as a liaison between the Group Manager and both internal and external stakeholders, fostering professional relationships.
  • Handle sensitive information with discretion and professionalism.
  • Anticipate team needs and proactively offer support to enhance overall efficiency and effectiveness.
  • Manage special projects and initiatives as assigned.
  • Perform general administrative duties, including filing, copying, scanning, and supply management.

Qualifications

  • Bachelor's degree preferred, or equivalent professional experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, exhibiting a high level of professionalism.
  • Meticulous attention to detail and accuracy in all tasks.
  • Flexibility and adaptability to changing priorities and situations.
  • Strong critical thinking abilities and the capacity to work independently with minimal supervision.
  • A positive attitude, initiative, and a willingness to embrace new challenges.
