Position Overview:

The Executive Assistant at Forrester plays a pivotal role in supporting our chief sales officer and chief marketing officer, who oversee teams globally. This position is responsible for managing and organizing calendars, scheduling meetings, and arranging travel for each executive, including logistics for significant functional meetings and offsite events, whether virtual or in-person. This individual will also coordinate logistics for Forrester's key annual sales events, such as the sales kickoff.

The ideal candidate will collaborate closely with the Executive Assistant to the CEO as a backup and will frequently engage with all levels within the organization to assist with corporate initiatives as required. Our preferred candidate demonstrates a high level of independence and accountability to thrive in a dynamic, fast-paced environment. This role necessitates the handling of confidential information and interaction with top executives both within client organizations and Forrester.

Key Responsibilities:

  • Proactively assist executives with all administrative functions, including maintaining and prioritizing their calendars.
  • Coordinate logistics for meetings and conference calls, including setting up and managing audio/video equipment, recording calls, and creating and distributing presentation materials as needed.
  • Plan and execute large-scale events, both locally and internationally, such as the annual sales kickoff, ensuring adherence to budget and enhancing the employee experience compared to previous years.
  • Manage travel arrangements (reservations, itineraries, etc.) for the CSO, their direct reports, and the CMO.
  • Facilitate and prepare for client meetings and visits, including compiling background research on clients or prospects and assisting with follow-up actions.
  • Complete expense reports for the CSO, their direct reports, and the CMO.
  • Draft accurate, high-quality correspondence and assist in the preparation of speeches and presentations.
  • Engage frequently with all company members, as well as clients, vendors, and business partners.
  • Undertake project work as required.
Qualifications:
  • A bachelor's degree is preferred.
  • Five to seven years of experience as an executive assistant or in a similar capacity.
  • Proven discretion in managing confidential information and interacting with high-level executives.
  • Exceptional verbal and written communication skills.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; experience with other software is advantageous.
  • Ability to plan months in advance and produce high-quality work efficiently.
  • Strong organizational skills, meticulous attention to detail, and effective prioritization abilities.
  • A proactive, enthusiastic team player willing to work in the office three days per week.
