Job Overview

Position Purpose:

Under supervision, with a moderate degree of autonomy and judgment, this role involves handling confidential and complex tasks including dictation, transcription, correspondence preparation, managing phone communications, scheduling appointments, and maintaining files and office procedures. The role encompasses various administrative responsibilities aligned with the functions and authority of the Chief Nurse Executive, Deputy Executive Directors of Nursing, and Associate Directors of Nursing.

Key Responsibilities:

  1. Assist the Chief Nurse Executive with a diverse array of activities in hospital administration and operational support services.
  2. Facilitate the collection and organization of reports for the Executive Leadership Committee.
  3. Coordinate and oversee reports generated through the Nursing Administration office.
  4. Prepare agendas, compile materials, and document proceedings for meetings and conferences.
  5. Draft and compose correspondence for the Chief Nurse Executive.
  6. Manage appointment schedules and reservations, ensuring the Chief Nurse Executive is informed of all engagements.
  7. Screen and manage telephone calls, welcoming visitors and callers.
  8. Keep the Chief Nurse Executive and Associate Directors of Nursing updated on pending matters.
  9. Engage in training programs to enhance knowledge of hospital operations.
  10. Perform any additional duties as assigned by the Chief Nurse Executive.

Minimum Qualifications:

1. High School Diploma or equivalent, with four years of clerical experience, including two years as a stenographic secretary; or

2. A Bachelor’s Degree from an accredited institution and one year of experience as a stenographic secretary; or

3. An Associate Degree specializing in Secretarial Science with three years of clerical experience, one year of which must be as a stenographic secretary.

The ability to accurately and swiftly take dictation and transcribe is essential. Candidates must demonstrate discretion and diplomacy in all interactions, exercise initiative in routine correspondence preparation, manage administrative details, and maintain confidentiality regarding executive and corporate matters. High-level verbal, written, and secretarial skills are required, or a satisfactory combination of education, training, and experience.
