Job Overview
Position Objective:
Under supervision, with a moderate degree of initiative and judgment, this role involves handling confidential and complex tasks including dictation, transcription, correspondence preparation, managing phone communications, scheduling appointments, and maintaining office files and procedures.
The position will support designated administrative functions related to the Chief Nurse Executive, Deputy Executive Directors of Nursing, and Associate Directors of Nursing.
Key Responsibilities
Provide assistance to the Chief Nurse Executive across a variety of management activities related to hospital administration and operational support services.
- Coordinate and assist the Chief Nurse Executive in compiling and organizing reports for the Executive Leadership Committee.
- Manage and oversee reports generated through the Nursing Administration office, including incidents, patient complaints, and other relevant data.
- Prepare meeting agendas, assemble necessary materials, and document proceedings for various meetings and conferences.
- Draft and compose correspondence for the Chief Nurse Executive.
- Maintain appointment schedules and make necessary reservations, ensuring the Chief Nurse Executive is informed of all appointments and required documentation.
- Screen and manage telephone calls, welcoming visitors and managing inquiries.
- Keep the Chief Nurse Executive and Associate Directors of Nursing updated on pending matters.
- Engage in training programs to enhance knowledge of hospital operations.
- Perform any additional tasks assigned by the Chief Nurse Executive.
Qualifications
- High School Diploma or equivalent, with four years of clerical experience, including two years as a stenographic secretary; or,
- A Bachelor’s Degree from an accredited institution with one year of experience as a stenographic secretary; or,
- An Associate Degree specializing in Secretarial Science with three years of clerical experience, one year of which must have been as a stenographic secretary.
Ability to accurately and swiftly take dictation and transcribe documents.
Demonstrated discretion and diplomacy in all internal and external interactions, with the ability to take initiative in preparing routine correspondence and managing administrative details while maintaining confidentiality regarding executive and corporate matters.
High-level verbal, written, and secretarial skills are essential; or, a satisfactory combination of education, training, and experience is acceptable.-
