Objective: To enhance patient experiences by providing a warm welcome and facilitating a smooth entry into the healthcare environment. This role supports the administrative operations of the office, aiming to deliver exceptional patient care and superior customer service.

Key Responsibilities

Administrative Duties

  • Greet all patients with professionalism and friendliness.
  • Manage incoming calls promptly, scheduling appointments efficiently.
  • Verify and scan insurance documentation and identification.
  • Distribute relevant literature and forms for patient completion, ensuring accuracy.
  • Review patient benefits and eligibility during check-in and check-out processes.
  • Accurately input patient demographic and financial data.
  • Conduct insurance eligibility checks to confirm active status and identify necessary referrals/authorizations.
  • Secure required referrals/authorizations prior to patient consultations.
  • Collect payments and outstanding balances from patients.
  • Record charges and payments in the billing system.
  • Upload clinical notes and encounter documentation into the system.
  • Schedule follow-up appointments as needed.
  • Manage no-show, cancellation, and recall reports effectively.
  • Optimize provider schedules for maximum efficiency.
  • Reconcile end-of-day financial transactions (cash/check/credit card) with encounter forms.
  • Generate daily batch reconciliation for managerial review.
  • Provide backup support for check-in and check-out processes.
  • Maintain a clean and organized waiting area.

Qualifications:

High school diploma required. Proficiency in computer applications, EMR systems, and customer service is preferred. Excellent verbal communication skills and familiarity with clinical terminology are advantageous. A minimum of one year of experience in a clinical administrative or customer service role is preferred.
