Role Summary: The primary responsibility of this position is to assist patients by welcoming and guiding them, ensuring a smooth and prompt entry into the office environment. This role also encompasses supporting the overall administrative operations of the office, aiming to deliver exceptional patient care and high-quality customer service.

Key Responsibilities

Administrative Duties

  • Greet all patients in a courteous and professional manner.
  • Answer incoming calls promptly and schedule appointments efficiently.
  • Verify and scan insurance documentation and identification.
  • Distribute relevant literature and forms for patient completion; ensure accuracy and thoroughness.
  • Review patient benefits and eligibility during check-in and check-out processes.
  • Accurately input patient demographic and financial data.
  • Conduct insurance eligibility checks to confirm active status and determine if referrals or authorizations are necessary.
  • Obtain required referrals or authorizations from insurance prior to patient consultations.
  • Collect payments and outstanding balances from patients.
  • Record charges and payments in the billing system.
  • Upload clinical notes and encounter documentation into the system.
  • Schedule follow-up appointments as needed.
  • Manage no-show, cancellation, and recall reports effectively.
  • Maximize the utilization of providers' schedules.
  • Reconcile end-of-day financial transactions (cash/check/credit card) with encounter forms.
  • Prepare daily batch reconciliation for managerial review.
  • Serve as a backup for check-in and check-out processes.
  • Maintain a clean and organized waiting area.

Qualifications and Educational Background:

A high school diploma is required. Proficiency in computer applications, EMR systems, customer service, and excellent verbal communication skills are preferred. A minimum of one year of experience in a clinical administrative role and customer service is also preferred.
