Ministerial Role:

The Pastor serves as the visible foundation of unity within the parish community, entrusted with the mission of Christ. To fulfill this mission, the Pastor collaborates with selected individuals, sharing responsibilities and ensuring the ministry's effectiveness.

Positions within the Diocese of Austin Catholic Parishes are designed to support the Pastor's ministry in specific capacities, thus the individual in this role will closely assist the Pastor in fulfilling his duties and contribute to the Church's mission.


Position Summary:

The Office Coordinator plays a vital role in supporting all Faith Formation initiatives, including K-8 Religious Education, High School Youth Ministry/Confirmation, and Adult RCIA programs. This role demands proficiency in administrative tasks, communication, computer skills, database management, and interpersonal interactions. The ability to work independently and collaboratively with various groups is essential. The position reports directly to the Director of Faith Formation.


Key Responsibilities:

  • Support and uphold the philosophy of Catholic ministry and the mission of the Diocese of Austin Catholic Parishes in both professional and personal conduct.
  • Exemplify Gospel values by embodying the teachings of the Catholic Church.
  • Engage in continuous professional development through participation in religious ceremonies, training sessions, and reflective activities as directed.
  • Provide comprehensive administrative and clerical support for religious education, youth ministry, sacramental preparation, and faith formation programs, along with the Faith Formation Staff.
  • Assist in organizing special events, such as parent meetings, sacraments, rehearsals, and retreats.
  • Maintain accurate Faith Formation records through the parish database, including managing parishioner and student information, teacher data, tuition payments, and schedules.
  • Oversee class rosters and the collection of registration fees.
  • Respond to all Faith Formation inquiries in a courteous and professional manner.
  • Direct visitors and phone calls to the appropriate staff member or ministry leader.
  • Perform clerical tasks such as filing, copying, mailing, typing, and general correspondence.
  • Coordinate volunteer work assignments.
  • Participate in parish staff meetings.

Qualifications:

Knowledge, Skills, and Abilities:

  • Proficient secretarial skills, including typing, filing, and computer usage.
  • Strong interpersonal communication skills; bilingual (Spanish/English) preferred.
  • Basic understanding of parish operations and the functioning of the Faith Formation office.
  • Ability to operate a phone system, including voicemail.
  • Capacity to maintain confidentiality in all matters.
  • Effective verbal and written communication skills; bilingual (Spanish/English) preferred.
  • Proficient in word processing and spreadsheet applications such as Word and Excel.

Minimum Qualifications:

Education:

  • High School Diploma or GED recognized by the Texas Education Agency.

Experience:

  • Two years of experience in customer service.
  • Two years of general clerical and office experience.
  • Two years of experience in database management.

Language Proficiency:

  • English (proficient in speaking, reading, and writing).
  • Spanish (proficient in speaking, reading, and writing).

Catholic Requirement:

  • Must be a practicing Roman Catholic in good standing.

Licenses and Certifications:

  • Valid Texas driver's license.
  • Compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies is required throughout employment.
