Position Overview
At Stony Brook Medicine, the Administrative Coordinator for Cancer Services plays a pivotal role in managing intricate cancer patient appointments, treatments, and procedures, under the guidance of the Senior Manager of Operations.

Key Responsibilities
The duties of the Administrative Coordinator may include, but are not limited to:

  • Overseeing high-volume patient discharges, which involve the complex scheduling of multiple appointments across various specialties for cancer patients.
  • Coordinating hospital and outpatient multi-day treatments, including pre and post-treatment diagnostics and laboratory tests to align with treatment plans.
  • Providing detailed coordination of numerous appointments within specified timeframes to ensure alignment with long-term treatment strategies.
  • Educating patients on necessary procedures for tests and appointments, ensuring a seamless flow of care across surgical, medical, and other oncology specialties.
  • Managing frequent rescheduling and re-coordination of complex appointments due to the evolving needs of cancer patients.
  • Ensuring patient appointments and treatments are effectively managed to prevent any lapses in care.
  • Identifying patients with financial needs and facilitating connections to the Financial Navigation team.
  • Discharging patients and scheduling follow-up appointments in the electronic health record system; providing necessary instructions for tests and authorizations.
  • Conducting end-of-day and monthly reconciliations to confirm that all required treatments and appointments are scheduled.
  • Monitoring and following up on missed appointments to address patient compliance issues.
  • Identifying potential billing and insurance challenges and ensuring all necessary documentation is completed by patients.
  • Collaborating daily with Financial Navigation staff, authorization teams, and other cancer center personnel to ensure smooth operations.
  • Maintaining a professional and positive demeanor to provide excellent service to patients and referring physicians.
  • Creating reports and spreadsheets related to operational issues to support the growth of the Cancer Center.
  • Supporting administrative functions related to obtaining physician orders and responding to inquiries.
  • Providing coverage for Patient Flow Coordinators and assisting with day-to-day operations as needed.

Qualifications Required:
Bachelor's degree and a minimum of four years of direct patient and physician customer service experience in a healthcare setting. Proficiency in Microsoft Office applications, strong problem-solving abilities, and excellent verbal and written communication skills are essential.

Preferred Qualifications:
Experience in cancer-related outpatient or ambulatory healthcare services, familiarity with data visualization tools like Tableau, and experience with electronic health record systems such as Cerner. Bilingual proficiency in Spanish and English is a plus.
