Position Overview

At Stony Brook Medicine, the Administrative Support Specialist II in the Transplantation Department plays a crucial role in our organization, delivering essential administrative and executive assistance while effectively communicating with various levels of management across the institution. Ideal candidates will exhibit exceptional organizational and communication abilities, upholding our commitment to excellence.

Key Responsibilities of the Administrative Support Specialist II in the Transplantation Department include but are not limited to:
  • Providing comprehensive administrative support to the transplant administrator and coordinators.
  • Coordinating pre-transplant evaluations, donor assessments, and follow-up appointments with relevant services.
  • Managing IDX, responding to phone inquiries, and updating departmental contact lists.
  • Contacting laboratories, radiology centers, referring physicians, and consultants to gather medical records for patients under evaluation, those on the kidney waitlist, and living donors.
  • Drafting written communications to patients, donors, and external providers as instructed by clinical personnel.
  • Demonstrating proficiency in Cerner, Power Chart, and Eclipse.
  • Maintaining up-to-date knowledge of ICD-10, CPT coding, and HIPAA compliance.
  • Conducting preliminary screenings for potential living donors.
  • Assisting with chart reviews, data collection, and analysis as directed by the transplant administrator.
  • Performing additional duties as assigned.
Qualifications

Required: An Associate's degree and a minimum of two years of relevant experience in an administrative role. Proficiency in MS Office Suite, including Word, Excel, and PowerPoint. Strong office management skills, familiarity with medical terminology, and adeptness in computer applications.

Preferred: Experience in a medical office setting, particularly in appointment scheduling and patient interaction.

Prior to the start date, the selected candidate must fulfill the following requirements:
  • Complete a pre-employment physical examination and obtain medical clearance.
  • Complete an electronic reference check with at least three professional references.
  • Pass a four-panel drug screening.
  • Meet all regulatory requirements for pre-employment screenings.
  • Provide any necessary New York State licenses or certifications.
Failure to comply with these requirements may result in a delayed start date or revocation of the employment offer.

Anticipated Salary Range:

The starting salary range for this position is estimated to be between $43,372 and $53,179 per year. This range reflects Stony Brook Medicine's good faith estimate of potential compensation at the time of posting. Additionally, all UUP positions include an extra $3,400 for location. The total compensation package includes generous leave, health plans, and a state pension that contribute to overall financial well-being.
