Required Qualifications:

Preferred Qualifications:
A Master's degree (or its foreign equivalent) is preferred, along with five (5) or more years of extensive experience in pre- and/or post-award programmatic and financial research administration. Experience within a public or private university or non-profit organization is advantageous. Familiarity with academic operations and sponsored award processes is essential. Candidates should have experience in reviewing and negotiating research grants, budgets, contracts, and cooperative agreements from both federal and non-governmental sponsors.

Experience with internal proposal routing systems to assist researchers and support staff in managing proposal submissions and ensuring research compliance is also preferred.


Key Responsibilities:
The College of Engineering and Applied Sciences (CEAS) encompasses nine academic departments and twelve programs. The selected candidate will provide proposal development support and manage elements of grants administration for faculty within CEAS.

Reporting directly to the CEAS Research and Grants Manager in the Office of Research and Entrepreneurship, the successful candidate will collaborate closely with the Research and Grants Manager, the Associate Dean for Research and Entrepreneurship, the Associate Dean for Strategic Initiatives, and the staff within the Office of the CEAS Dean.

The ideal candidate will exhibit strong interpersonal skills, exceptional organizational abilities, and meticulous attention to detail.

It is crucial for this role to work both independently and collaboratively, employing a team-oriented approach to problem-solving and decision-making.

A significant portion of this position involves supporting CEAS faculty with proposal submissions, which includes assisting in budget formulation, interpreting funding opportunities, scheduling team meetings, organizing shared drives, and coordinating with the Office of Sponsored Programs throughout the proposal submission process.

Another major aspect of this role includes grants management, which entails monitoring grant expenditures and ensuring compliance with grant stipulations, assisting faculty with budgeting and renewal paperwork, and addressing changes in funding and expenditures. The candidate will liaise with Grants Management, Sponsored Programs, Payroll, Travel, Accounts Payable, and other administrative units as necessary to resolve any administrative challenges or discrepancies.

Responsibilities also include coordinating the budget development, preparation, collection, and submission of documents into various proposal management systems.

Additionally, the candidate will draft, format, circulate, and review essential proposal documents, such as biographical sketches, current and pending funding, data management plans, letters of support, training records, and other required supporting materials.

Summarizing and prioritizing key proposal requirements from funding opportunities and maintaining a timeline of milestones to facilitate proposal planning and development is essential. Regular communication and meetings with the entire proposal development team will be necessary to ensure timely progress towards successful proposal submission.

The candidate will also assist faculty with post-award activities, including award modifications, budget adjustments, and award closeout processes.

Furthermore, the candidate will help keep the College informed of emerging funding, training, and research administration opportunities by disseminating research news through email communications and newsletters.

Reviewing and approving proposals on behalf of the College of Engineering and Applied Sciences for the university's internal proposal tracking system is also a key responsibility. This includes ensuring compliance with budgets, effort percentages, and cost-sharing requests.

Monitoring the CEAS Office of Research and Entrepreneurship's general inbox and maintaining the Proposal Assistance Request inbox will be part of the role. The candidate will also maintain a spreadsheet of proposal requests, current proposals, and proposal completions. Other duties or projects may be assigned as appropriate to rank and college mission.


Special Notes:
This is a full-time position classified as FLSA Exempt, meaning it is not eligible for overtime provisions. The minimum salary threshold must be met to maintain FLSA exemption. In addition to the base salary, this position is eligible for annual location pay.
