Position Overview
At Stony Brook Medicine, the Cancer Center Operations Coordinator plays a pivotal role in managing intricate patient visits, treatments, and procedures within the Cancer Center, under the guidance of the Senior Manager of Operations.
Key Responsibilities
The Cancer Center Operations Coordinator's duties may include, but are not limited to:
- Facilitating high-volume patient discharges, which involve complex scheduling of multiple appointments across various specialties for procedures, treatments, diagnostics, and physician visits for cancer patients.
- Coordinating hospital and outpatient multi-day treatments, along with pre and post-treatment diagnostics and laboratory tests to ensure alignment with inpatient or outpatient care plans.
- Providing detailed coordination of numerous appointments over extended periods to align with treatment protocols.
- Educating patients on essential instructions for tests and the sequence of appointments throughout their cancer care journey, including coordination across surgical, medical, and other oncology specialties.
- Managing frequent rescheduling and re-coordination of complex appointments due to the dynamic nature of cancer treatment plans and patient needs.
- Ensuring that patient appointments, treatments, and tests are meticulously tracked to prevent any oversight.
- Identifying patients with financial needs and facilitating their connection with the Financial Navigation team.
- Handling patient discharges and scheduling follow-up appointments in the electronic health record system, ensuring patients receive all necessary instructions for their tests.
- Conducting end-of-day and monthly reconciliations to confirm that all required treatments and appointments are appropriately scheduled.
- Monitoring patient compliance with appointments and addressing any issues related to missed visits.
- Preparing reports on patient attendance trends and cancellations.
- Identifying potential billing and insurance challenges and ensuring all necessary documentation is completed by patients.
- Providing cross-coverage for Patient Flow Coordinators and maintaining effective communication with various teams to ensure seamless patient flow.
Qualifications Required
A Bachelor's degree is required, along with a minimum of four years of direct patient and physician customer service experience in a healthcare setting. Proficiency in Microsoft Office applications, strong problem-solving abilities, and excellent verbal and written communication skills are essential.
Preferred Qualifications
Experience in cancer care or related outpatient services, familiarity with data visualization tools such as Tableau, and experience with electronic health record systems like Cerner are preferred. Bilingual candidates in Spanish and English are also encouraged to apply.
Additional Information
