The Research Grant Specialist II collaborates closely with Principal Investigators to facilitate the completion and submission of both federal and non-federal grant applications. This role acts as a vital link between research departments and the administration of sponsored research funds, finance, and accounting. Responsibilities encompass a wide range of pre-award and post-award administrative tasks, including but not limited to: preparing and routing internal documents for signatures, monitoring grant accounts, tracking expenditures, providing financial reconciliation, and generating research-related financial reports. This position ensures adherence to all relevant internal policies, federal regulations, and local agency requirements, including those set forth by the Food and Drug Administration (FDA) and local Institutional Review Boards.
Key Responsibilities:
- Collaborate with Principal Investigators to prepare and submit grant applications.
- Contribute to the development of standard sections within grant proposals.
- Oversee grant accounts, track expenditures, and provide financial reporting and reconciliation.
- Monitor Time & Effort for accurate reporting and execute necessary funding adjustments.
- Manage the grant close-out process.
- Identify potential research funding opportunities.
- Negotiate budgets for clinical trials as needed.
- Assist with billing for research participants.
- Ensure compliance with all internal policies and federal/local regulations.
- Uphold research practices in accordance with Good Clinical Practice (GCP) guidelines.
- Maintain strict confidentiality of patient information in compliance with HIPAA regulations.
- Engage in required training and educational programs.
- Develop clinical trial budgets and collaborate with research coordinators on post-award management tasks.
- Work with departmental managers and research faculty to resolve deficits in sponsored research projects.
- Create staffing models and projections for research initiatives.
- Conduct monthly reviews of research portfolios with relevant programs.
Education:
- High School Diploma or GED is mandatory.
- Bachelor's degree in a relevant field is preferred.
Preferred specialty research certification (Certified Research Administrator).
Experience:
- Three to five years of experience in research grant administration.
- Familiarity with clinical trial budgeting processes.
- Strong verbal and written communication skills, with a solid understanding of federal and major funding agency guidelines.
- Experience with multi-Principal Investigator proposals is advantageous.
Ability to perform moderate lifting, sit, stand, and walk for extended periods. Capable of reading documents and operating standard office equipment. Must possess the physical ability and visual acuity necessary to perform essential job functions effectively.
