The Research Grant Specialist II collaborates closely with Principal Investigators to prepare and submit both federal and non-federal grant applications. This position acts as a crucial link between research departments and the administration of sponsored research funds, accounting, and finance. Responsibilities encompass all aspects of pre-award and post-award administration, including ensuring that internal documentation is prepared and processed, monitoring grant finances, tracking expenditures, and providing financial reconciliation and reporting related to research. This role also guarantees adherence to all internal policies, as well as federal and local agency regulations, including those set forth by the Food and Drug Administration (FDA) and local Institutional Review Boards.

Key Responsibilities:
  • Collaborates with principal investigators to finalize and submit grant applications.
  • Contributes to the development of standard sections within grant proposals.
  • Oversees grant accounts, monitors expenditures, and ensures accurate financial reporting.
  • Tracks Time & Effort for precise reporting and implements necessary funding adjustments.
  • Handles grant close-out processes.
  • Identifies potential research funding opportunities.
  • May engage in budget negotiations for clinical trials.
  • Assists with billing for research participants as needed.
  • Ensures compliance with internal and external regulations, including FDA and local Institutional Review Board standards.
  • Maintains research integrity in accordance with Good Clinical Practice (GCP) guidelines.
  • Upholds patient confidentiality in line with HIPAA regulations.
  • Participates in ongoing training and educational programs.
Department-Specific Duties:
  • Develops clinical trial budgets and collaborates with research coordinators on post-award management tasks such as invoicing and project close-outs.
  • Works with department managers and research faculty to resolve deficits in sponsored research projects.
  • Creates staffing models and projections for research initiatives.
  • Conducts monthly reviews of research portfolios with program teams.
Qualifications:

Education:
  • High School Diploma or GED is required.
  • Bachelor's degree in a relevant field is preferred.
Certification/License:

Preferred specialty research certification (Certified Research Administrator).

Experience:
  • Three to five years of experience in managing research grants.
  • Familiarity with clinical trial budgeting processes.
  • Strong verbal and written communication skills with a solid understanding of grant submission guidelines from federal and major funding agencies.
  • Experience with multi-Principal Investigator proposals is advantageous.
Physical Requirements:

Ability to perform moderate lifting, sit, stand, and walk for extended periods. Capable of reading documents and operating standard office equipment. Must possess the physical capability and visual acuity necessary to fulfill essential job functions.
