The Grants Management Specialist II collaborates closely with Principal Investigators to prepare and submit both federal and non-federal grant applications. This position acts as a crucial link between departmental research teams and the administration of sponsored research funds, accounting, and finance. Responsibilities encompass all pre-award and post-award administrative tasks, including the preparation and routing of internal documents for signatures, monitoring grant accounts, tracking expenditures, providing financial reconciliations, and generating research-related financial reports. This role ensures adherence to all internal policies, federal regulations, and local agency requirements, including those set forth by the Food and Drug Administration (FDA) and local Institutional Review Boards.
Key Responsibilities:
- Collaborate with principal investigators to finalize and submit grant proposals.
- Contribute to standard sections of grant applications as needed.
- Oversee grant accounts, monitor expenditures, and provide comprehensive financial reporting and reconciliation.
- Ensure accurate reporting of Time & Effort and perform necessary funding adjustments.
- Manage the grant close-out process effectively.
- Identify and pursue potential research funding opportunities.
- Assist in budget negotiations for clinical trials.
- Support research participant billing as required.
- Maintain compliance with internal policies and all applicable federal and local regulations.
- Uphold research practices in accordance with Good Clinical Practice (GCP) guidelines.
- Ensure strict confidentiality of patient information in line with HIPAA regulations.
- Engage in mandatory training and educational programs.
Department-Specific Duties:
- Develop clinical trial budgets and collaborate with research coordinators on post-award management tasks, including invoicing and project close-outs.
- Work with departmental managers and research faculty to resolve deficits in sponsored research projects.
- Create staffing models and projections for research initiatives.
- Conduct monthly reviews of research portfolios with program teams.
Qualifications:
Education:
- High School Diploma or GED is required.
- Bachelor's degree in a relevant field is preferred.
Certification/License:
- Preferred: Specialty research certification (Certified Research Administrator).
Experience:
- 3-5 years of experience in research grant administration.
- Familiarity with clinical trial budgeting.
- Strong verbal and written communication skills, with a solid understanding of federal and major funding agency guidelines.
- Experience in multi-Principal Investigator proposals is advantageous.
Physical Requirements:
Able to perform moderate lifting and maintain prolonged periods of sitting, standing, and walking. Proficient in reading documents and operating standard office equipment.
