Position Overview:

The Administrative Operations Coordinator will be instrumental in facilitating the administrative functions and analytical processes within our organization. This multifaceted role demands a proactive individual with a strong sense of initiative and the capability to work independently. The ideal candidate will oversee a variety of responsibilities, ensuring the efficient operation and successful attainment of organizational objectives.

Key Responsibilities:
  • Administrative Support:
    • Deliver high-level administrative assistance to leadership and team members.
    • Organize calendars, arrange meetings, and coordinate travel logistics.
    • Draft and refine correspondence, communications, presentations, and other essential documents.
    • Manage confidential and sensitive information with utmost discretion.
  • Analytical Support:
    • Conduct research and perform data analysis to inform program planning and strategic decision-making.
    • Track program metrics and performance indicators to ensure alignment with organizational goals.
    • Compile comprehensive reports and presentations detailing program outcomes and recommendations.
    • Collaborate with cross-functional teams to gather and analyze relevant data.
  • Project Management:
    • Plan, coordinate, and oversee smaller projects to ensure timely and budget-compliant completion.
    • Monitor project progress, identify potential risks, and develop mitigation strategies.
    • Create detailed project plans, timelines, and status updates.
    • Support strategic initiatives and projects through to successful completion.
  • Process Enhancement:
    • Identify opportunities for operational improvements and efficiencies.
    • Develop and implement new administrative systems and procedures.
    • Provide training and support to team members on new processes and tools.
  • Communication and Coordination:
    • Act as a liaison between leadership, team members, and external stakeholders.
    • Facilitate effective communication within the organization and across departments.
    • Organize and coordinate team meetings, events, and activities.
  • Additional duties may be assigned as needed.
Qualifications:
  • Preferred: Bachelor's degree in Business Administration, Program Analysis, or a related field.
  • Minimum of 3-5 years of experience in an administrative or analytical role.
  • Demonstrated ability to manage multiple tasks and projects concurrently.
  • Strong organizational, analytical, and problem-solving capabilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and analytical tools.
  • Ability to work independently and take initiative in a dynamic environment.
  • Detail-oriented with the capacity to manage diverse workstreams.
  • Quick learner with the ability to assimilate large amounts of information effectively.
  • High level of discretion and confidentiality in handling sensitive information.
