Job Summary

Clinica Romero is seeking a highly skilled Surgical Coordinator to join our Women's Health team. As a key member of our surgical coordination team, you will play a vital role in ensuring seamless communication and coordination between physicians, hospitals, insurance providers, and patients to optimize patient outcomes and satisfaction.

Key Responsibilities
  • Patient Communication and Education
    • Act as the primary point of contact for patients, providing pre-operative and post-operative instructions, addressing concerns, and ensuring a smooth surgical experience.
    • Respond to patient inquiries, addressing common questions about surgical times, appointments, and instructions.
    • Educate patients and their families on what to expect before, during, and after surgery, including preparation and recovery processes.
    • Provide patients with detailed pre-operative and post-operative instructions.
  • Scheduling and Coordination
    • Schedule appointments with the surgeon, notify patients of their appointments, reschedule appointments as needed, and schedule patients' surgeries.
    • Coordinate and follow up on laboratory and imaging tests.
    • Develop and update surgical waitlists.
    • Confirm final booking assignments with designated personnel.
    • Determine appointment priority and schedule patients using appropriate scheduling protocols.
    • Ensure adequate preparation for surgeries by scheduling necessary equipment and procedure rooms and maintaining the surgical inventory.
    • Liaise between Hospital Staffing, nursing staff, and other medical professionals to ensure seamless communication and patient care.
  • Documentation and Compliance
    • Review and document the physician's surgical plan and decision.
    • Verify and document ICD-10 and CPT codes accurately.
    • Ensure all required documentation is provided and prepare patient charts in accordance with established procedures and guidelines.
    • Maintain accurate and up-to-date records of all pre-operative, operative, and post-operative documentation.
    • Ensure all coding (ICD-10 and CPT) is completed accurately and submitted timely.
    • Adhere to all relevant legal and ethical standards, including patient confidentiality and HIPAA regulations.
  • Insurance and Billing
    • Verify patient insurance coverage and obtain necessary pre-authorizations for procedures.
    • Submit all authorizations and insurance referrals and documentation.
    • Assist with billing processes by ensuring accurate coding and documentation for surgical procedures.
    • File paperwork, prepare bills, and work with insurance companies to resolve issues.
  • Administrative Duties
    • Maintain organized and efficient filing systems for surgical records and patient information.
    • Assist with administrative tasks related to surgical coordination as needed.
    • Participate in team meetings and contribute to continuous improvement initiatives.
    • Coordinate meetings and ensure all necessary records and documentation are available.
  • Compliance with ACOG Guidelines
    • Ensure all responsibilities are performed in alignment with ACOG guidelines and best practices for surgical coordination and patient care.
