Key Responsibilities:

  • Oversee the scheduling of specialists for all service agreements.
  • Manage daily scheduling for emergency and time-and-material projects.
  • Receive, verify, and enter service work orders and employee timesheets accurately.
  • Process orders for spare parts with attention to detail.
  • Collaborate with the Material Coordinator to maintain accurate employee truck stocks and expedite material usage and replacement.
  • Address customer satisfaction concerns and coordinate with relevant parties to enhance service quality.
  • Invoice for spare parts daily and for time-and-material work weekly.
  • Work closely with the Collections department to ensure timely collection of payments for services rendered.
  • Coordinate material orders and timing with the Material Coordinator to optimize cash flow and efficiency.
  • Engage with subcontractors or internal teams to maximize installation value.
  • Support Climatec and other contractors in resolving complex building operational issues.
  • Communicate with internal teams to ensure accurate labor tracking and productivity goals are met.
  • Provide guidance and input to assist in the estimation, design, installation, startup, commissioning, and training for building systems.
  • Engage with external entities such as consulting engineers and building owners to ensure precise and timely engineering.
  • Support ongoing service engineering and maintenance for existing building systems.
  • Keep the service management system updated to achieve optimal productivity.
  • Perform other duties as assigned.

Qualifications:

Basic Requirements:

  • High school diploma or equivalent.
  • A minimum of 2 years of experience in a Coordinator or Dispatcher role.
  • Experience in scheduling, customer service, or a related field.
  • Proficient in basic computer systems, including MS Office Suite and Outlook.
  • Ability to troubleshoot basic computer issues.
  • Strong verbal and written communication skills.
  • Empathy and problem-solving skills to effectively address and resolve issues.

Preferred Qualifications:

  • Associate's or Bachelor's degree in a relevant field.
  • 5 years of experience in scheduling, customer service, or a related field.
  • Familiarity with brands and platforms such as Lenel, Genetec, or similar security and surveillance systems.
  • Experience with Service Trade platform and/or Coins.
  • Advanced proficiency in MS Office Suite, particularly Excel and Word.
  • Experience in managing scheduling for service agreements.
  • Background in coordinating with Material Coordinators for inventory management.
  • Experience in handling customer satisfaction issues and coordinating resolutions.
  • Familiarity with invoicing processes for spare parts and time-and-material work.
  • Experience working with Collections departments to ensure timely payments.
  • Proven ability to coordinate material orders and collaborate with subcontractors for efficiency.
  • Knowledge of building systems, including installation, startup, commissioning, and training processes.
  • Experience in providing ongoing service engineering and support for building systems.
  • Ability to utilize service management systems for maximum productivity.

Physical Requirements:

  • Ability to lift and carry equipment and materials.
  • Capability to spend significant time standing and walking on construction sites.
  • Ability to climb stairs or ladders as needed.
  • Maintain a satisfactory driving record to operate a company vehicle.
  • Physical capability to kneel, stoop, and crawl as required.
