The salary of the finalist selected for this role will be determined based on various factors, including departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Overview

The Department of Environmental Health Sciences is seeking a dedicated Senior Grant Coordinator to enhance our pre and post-award team. Reporting to the Department Administrator, the successful candidate will oversee the grant submission process for designated sponsored projects and manage the daily post-award activities associated with various grant initiatives.

The coordinator will act as a reliable resource for grant-related inquiries.

Key Responsibilities

  • Assist Principal Investigators (PIs) in crafting, reviewing, and submitting grant and contract applications. Manage timelines and ensure the timely completion of high-quality, compliant proposals.
  • Oversee pre- and post-award functions for research grants, contracts, and discretionary accounts.
  • Maintain comprehensive and current records of PIs' other support and grant submission documentation.
  • Ensure that progress reports are prepared and submitted as mandated by the sponsoring program.
  • Collaborate closely with subcontractors to guarantee accurate and timely billing, payments, and the renewal of subcontract agreements.
  • Reconcile and analyze financial statements related to grants.
  • Assist with year-end reconciliations and project closeouts, along with quarterly attestations.
  • Review financial systems to confirm accuracy in grant setups, budgets, and project timelines.
  • Monitor project balances and ensure the timely clearing of suspense accounts and grant overruns.
  • Conduct bi-monthly meetings with assigned PIs to assess their individual funding portfolios, which may include grants, contracts, gifts, endowments, and other types of restricted and unrestricted funding.
  • Implement feedback and changes from PIs based on meeting discussions.
  • Maintain labor schedules for faculty and research staff and process labor cost transfers.
  • Coordinate annual effort reporting in collaboration with the departmental effort coordinator.
  • Work with the Department Administrator to ensure accurate budget information is maintained in the University Financial Systems Security Administration system for assigned sponsored projects.
  • Review invoices, check requests, wire transfers, expense reports, journal entries, interdepartmental invoices, and purchase requisitions to ensure funding availability and compliance with University and sponsor policies before processing transactions.
  • Act as a Pcard approver, ensuring authorized and appropriate use of P-Cards and correct allocation of expenses in line with University policies.
  • Train under the guidance of the Department Administrator to continuously develop a strong understanding of federal regulations governing research grants and stay informed about sponsor terms and conditions.
  • Foster positive relationships with collaborating organizations and various internal offices.
  • Liaise with central business offices such as Sponsored Project Administration, Sponsored Project Finance, and Research Compliance.
  • Perform additional duties as assigned.

Minimum Qualifications

  • Bachelor's degree or equivalent in training and experience, with a minimum of three years of directly related experience. An MBA, MPH, or MHA is preferred and may partially substitute for experience.

Preferred Qualifications

  • Master's degree in a relevant field (e.g., public health, environmental health sciences, project/program management).
  • Familiarity with Institutional Review Board protocols and databases.

  • Proficiency in Microsoft Word, Excel, PowerPoint, and standard website building platforms.
