Position Overview:
Under general supervision, the Grants Administrative Specialist is responsible for delivering comprehensive administrative, financial, and logistical support associated with pre- and post-award sponsored research activities. This role encompasses routine sponsored projects, including federal grants, foundation grants, and industrial contracts.
Key Responsibilities:
1. Coordinate operational and programmatic support for research and educational initiatives as required.
2. Provide administrative assistance with grant transactions, including the review and approval of purchases, account reconciliations, payment requests, and preparation of expenditure correction requests.
3. Edit and propose modifications to administrative documents or program requirements.
4. Oversee the administration and submission of research grant and contract applications.
5. Assist in the development and execution of budgeting processes related to general and project-specific needs.
6. Supervise support staff and delegate work assignments as necessary.
7. Ensure compliance with all regulatory requirements for the program(s).
8. Manage procurement activities related to goods, services, and equipment, as well as disbursement and reimbursement activities.
9. Maintain an inventory of supplies, equipment, and reagents, ordering as authorized or escalating needs appropriately.
10. Coordinate calendars, schedule appointments, and manage meeting arrangements, prioritizing requests effectively.
11. Assist faculty in identifying new funding opportunities.
Qualifications:
Education: Bachelor's Degree required; Master's Degree preferred.
Experience: Approximately 3 years of relevant experience, ideally within the medical research sector.
Knowledge, Skills, and Abilities:
- Demonstrated proficiency in work-related skills with a commitment to continuous improvement.
- Strong written and verbal communication skills to facilitate information flow.
- Uphold integrity and ethical standards consistently.
- Understand the alignment between individual, departmental, and organizational goals.

Working Conditions:
Standard office environment; this position offers a hybrid work model (up to 50% remote).
