The salary of the selected candidate will be determined based on various factors, including departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Overview

The Office for Research at Columbia University is in search of a Grants Coordinator to become a vital member of the Pre-Award Team. Reporting to the Director, the Grants Coordinator will facilitate all grant-related pre-award administrative functions for the Basic Science Departments and other collaborating departments. The primary responsibility of this role is to assist faculty in the submission and management of grants and contracts, including annual progress reports and subawards.

Key Responsibilities

  • Assist Principal Investigators (PIs) in the creation, review, and submission of all Federal, State, and foundation grant applications. Oversee timelines and the overall submission process to ensure timely completion of high-quality, compliant proposals.
  • Train under the guidance of the Director and senior staff to develop a comprehensive understanding of federal regulations governing research grants; remain updated on sponsor terms and conditions for grant submissions and administration.
  • Support the preparation of grant budgets and justifications in alignment with project aims and funding requirements, ensuring compliance with sponsor policies and engaging with external collaborators.
  • Maintain accurate and current records of PIs' other support, biosketches, and grant submission documents.
  • Respond to Requests for Applications (RFAs) and summary statements, addressing any issues prior to submission.
  • Ensure that progress reports are prepared and submitted as mandated by the sponsoring program.
  • Monitor the status of pending applications and follow up with investigators regarding review and funding status.
  • Ensure that files for awarded applications are complete, following up with investigators and administrators regarding any missing information.
  • Maintain standards for budget templates, checklists for core staff and PIs tailored to the sponsor, and an organized filing system using shared drives.
  • Foster and maintain positive relationships with funding agencies, collaborating organizations, and various internal offices. Gain in-depth knowledge and expertise in grants administration through training with senior staff.
  • Collaborate effectively with faculty, grant writers, proposal development teams, and all aspects of grant administration.

Minimum Qualifications

  • A bachelor's degree or equivalent in education and experience, along with 2 years of relevant experience.

Preferred Qualifications

  • A bachelor's degree in biological sciences or a business-related field such as finance, accounting, public health, or public administration.
  • Prior experience in an academic grant-funded environment.

Other Requirements

  • Proficient in Microsoft Office, particularly Excel.
  • Demonstrated customer service orientation with the ability to engage and collaborate with diverse constituencies, along with the capacity to work independently in a fast-paced, multi-tasking environment.
  • Excellent analytical, organizational, interpersonal, and communication skills, both oral and written.
  • Ability to manage multiple projects effectively, demonstrating initiative, patience, and resourcefulness in adapting to changes.
