POSITION SUMMARY

The Philanthropies team utilizes grants, mission investments, convenings, and policy engagement to create meaningful impact. The Grants Management Systems Administrator is responsible for overseeing the administration and training related to Fluxx, the grantmaking database utilized by Trinity, while ensuring adherence to legal and ethical standards governing grantmaking practices.

This role includes providing support and conducting reviews for grants associated with 1-2 of Trinity's strategic initiatives, as well as assisting in the preparation of materials for the Grants Committee's evaluation.

Annual Salary Range: $102,900 to $116,000

ESSENTIAL DUTIES AND RESPONSIBILITIES

Grants Management System Administration
Oversees the grants database, ensuring data integrity and identifying opportunities for process enhancements to facilitate efficient grantmaking operations.


Key responsibilities include:


- Developing new dashboards and application forms;
- Enhancing user management for both internal and external stakeholders;
- Reviewing and updating application security protocols;
- Refining workflows;
- Creating and updating email and document templates;
- Designing standard and ad hoc reports.

Provides training for staff and develops reference materials for both staff and grantees.
Responds promptly to inquiries from Philanthropies staff, including elevated support issues from grantees.
Offers expert guidance and translates grant processes, policies, and procedures into actionable practices.
Collaborates with evaluation staff to design and manage data collection for monitoring and learning.
Leads and oversees weekly meetings with consultant developers.

Grants Review & Support
Conducts thorough reviews of grant records for completeness, performing due diligence and structuring grants as necessary.

Generates award notifications and grant agreements.
Coordinates the processing of grant payments.
Manages the completion and closure of grants.

Internal Engagement & Team Culture
Collaborates closely with Philanthropies program staff and other departments within Trinity.

Ensures that all tasks are executed with precision and uphold the highest ethical standards, in alignment with Trinity's core values.
Maintains confidentiality and adheres to all relevant policies, procedures, and guidelines.
Performs all responsibilities in a manner that supports Trinity's mission and core values.
Assumes additional responsibilities and special projects as needed.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Experience with grants database systems such as Fluxx, Blackbaud, or foundationConnect is essential. The ideal candidate will have a background in configuring the Fluxx database.
Familiarity with relational databases, form creation, report generation, APIs, and related integration tools is required.
Demonstrated technical project management capabilities, including experience in managing developers.
Ability to balance multiple priorities effectively and work independently on projects from inception to completion.
Skilled in communicating technical concepts through clear and accessible training materials.

Exceptional interpersonal skills, enabling effective collaboration with all levels of internal and external stakeholders, as well as outside consultants and constituents.
Ability to identify concerns confidently, regardless of seniority.
Maintains a professional demeanor and positive attitude in a results-driven environment.

EDUCATION, EXPERIENCE, AND CREDENTIALS

A Bachelor's degree in a relevant field is preferred, or an equivalent combination of training and experience.
3-5 years of experience in a foundation or grantmaking context is required.

Knowledge of Liquid, HTML/CSS, or Ruby is beneficial but not mandatory.
