Your Role: Executive Administrative Support

As an integral part of our executive team, you will provide comprehensive administrative support to the CEO, Director of Finance, and Director of Operations. Your responsibilities will encompass a wide range of tasks, ensuring seamless operations and efficient communication within the company.

Key Responsibilities:
  • Coordinate domestic and international travel arrangements for executives, including flights, accommodations, and transportation.
  • Manage executive calendars, schedule meetings, send reminders, and arrange catering as needed.
  • Serve as the primary point of contact between executives, employees, clients, and external partners.
  • Liaise with internal and external stakeholders on various projects and tasks, facilitating effective communication.
  • Maintain corporate records, documents, and reports, ensuring accurate filing and retrieval.
  • Prepare presentations, meeting minutes, and follow-up correspondence, demonstrating meticulous attention to detail.
  • Handle personal errands for the CEO, including ordering clothing, household items, and arranging floral arrangements.
  • Update executives on open tasks daily by creating task lists and summarizing meeting recaps.
  • Organize company outings, office celebrations, and other events, fostering a positive work environment.
  • Maintain a VIP client list, tracking birthdays and credentials for personalized communication.
  • Develop a comprehensive understanding of clients, partners, lawyers, and business relationships to effectively manage requests.
  • Demonstrate initiative and work independently to incorporate creative solutions into various projects.
Qualifications:
  • Minimum 5+ years of high-level administrative experience in a business environment, supporting executives at the CEO or senior management level.
  • High school diploma or higher education is required.
  • At least 3 years of experience in the real estate industry.
  • Proven ability to coordinate domestic and international travel arrangements.
  • Proficiency with software applications such as Google Suite, Zoom, Microsoft 365, etc.
  • Availability to accommodate last-minute travel plans outside of regular business hours.
  • Professional attire is required.
