The Executive Office Coordinator is an essential in-office position responsible for maintaining the smooth operation of the office while providing vital support to key executives. This role encompasses a blend of administrative, managerial, and property management tasks aimed at ensuring effective property management and team success. The ideal candidate will be an organized and proactive professional with experience in real estate or property management.

Key Responsibilities:

  • Oversee office services, including supplies, equipment, mail, courier services, and security, while managing maintenance and repairs of office equipment and building systems.
  • Administer budgets for office and facility expenses, ensuring adherence to budgetary constraints.
  • Organize and execute office events, including holiday parties, summer gatherings, monthly luncheons, and quarterly board meetings.
  • Manage the executive's calendar, coordinating appointments, meetings, and travel arrangements as needed.
  • Collaborate with IT and HR teams to set up user accounts, permissions, and security protocols, facilitating the onboarding and offboarding of team members.

Qualifications:

  • Minimum of 1 year of experience with Microsoft Excel, Word, and PowerPoint.
  • At least 1 year of experience in a fast-paced professional environment.
  • 3+ years of experience in office management or facilities management.
  • Familiarity with contracts and renovations is preferred.
  • Strong attention to detail and ethical judgment.
  • Exhibit a positive, team-oriented attitude.
  • Ability to adapt quickly to changing priorities.
  • Proficiency in platform management technologies.
  • Successful completion of a criminal background screening prior to employment.
