We serve the communities of Hood River, Wasco, and Sherman Counties through a model that prioritizes consumer involvement and engagement.

Role Summary

The Executive Assistant is responsible for executing a range of complex and confidential administrative tasks to support the Executive Director, the Tri-County Board, and the Leadership Teams. This role requires a high degree of independent judgment, discretion, and initiative, along with exceptional communication skills to effectively manage various routine and non-routine situations.

Key Responsibilities
  • Utilize independent judgment and discretion in supporting executive-level leaders, disseminating policies, and addressing inquiries from staff and the public.
  • Conduct research, gather data, and prepare comprehensive reports on a regular basis, making independent decisions regarding resource allocation for project completion.
  • Coordinate written and verbal communications between internal and external parties, proactively managing workflow and providing support to the Executive Team.
  • Screen calls and visitors, triaging requests for meetings with the Executive Director and managing agency records.
  • Oversee the calendars of the Executive Director and Deputy Director, ensuring effective scheduling and coordination of meetings.
  • Prepare and maintain agency contracts, establishing tracking systems to monitor deadlines and ensure timely notifications.
  • Organize meetings for the Executive Director and Executive Team, including logistics, agenda preparation, and minute-taking.
  • Plan and coordinate seminars and conferences, managing travel arrangements as necessary.
  • Provide administrative support to various boards, including drafting agendas, preparing meeting packets, and recording minutes accurately.
  • Maintain organized files and records for the Executive Director, tracking staff assignments and supporting audit preparations.
  • Respond to inquiries from staff, clients, and the public regarding agency information.
  • Review and format legal documents and correspondence, ensuring accuracy and compliance.
Qualifications

Education and Experience:
Any combination of education and experience that demonstrates the ability to perform the essential responsibilities of the position is qualifying. This includes:

  • Bachelor's degree in business or a related field with one year of senior-level administrative experience OR
  • Associate degree in business or a related field with three years of senior-level administrative experience OR
  • High school diploma or GED with five years of senior-level administrative experience.

Additional Requirements:
Valid driver's license, acceptable driving record, and ability to pass criminal history checks as required.
