Administrative Coordinator

Welcome clients, visitors, and guests; assess the purpose of each individual's visit and guide or accompany them to the appropriate personnel or location.
Manage incoming phone calls by screening and directing them to relevant staff; take messages and assist in scheduling appointments.
Receive and distribute mail, documents, packages, and courier deliveries.
Provide administrative and clerical support as needed.
Collaborate with the procurement department to prioritize and expedite high-importance orders through logistical processes, including generating purchase orders, work orders, and packing slips.
Work with management to address any procedural issues.
Gather quotes, product details, and pricing information.
Create and modify purchase orders as necessary.
Ensure accurate inventory levels to support production needs.
Prepare documentation for returning items, such as pro forma invoices and customs duty drawback applications.
Match purchase orders with requisitions.
Input inventory data into the computer system.
Generate custom reports for detailed analysis.
Initiate purchase orders for specific commodities.
Expedite stock items and provide assistance to other departments as required.
Maintain vendor records for purchased items and update both written and electronic files for efficient operations.
Ensure the reception area is covered with phone support.
Possess a solid understanding of Inventory Control Systems, Sales Order Systems, Purchasing Systems, and RMA Systems.
Manage and procure office supplies.
Commit to environmental protection and the health and safety of employees, customers, and the community. Responsible for upholding and continuously enhancing our Environmental Management System (EMS).
Other duties as assigned.
Qualifications
- High school diploma (or equivalent) is preferred.
- A minimum of three years' experience in production scheduling or a related field is advantageous.
- Familiarity with SAP is a plus.
- Proficient in personal computer skills; knowledge of Microsoft Office is beneficial.
- Must pass a company post-employment physical, as well as drug testing and background checks, as required.
