Receptionist

We are seeking a highly organized and detail-oriented Receptionist to provide exceptional support to our internal and external stakeholders. As a key member of our front office team, you will be the first point of contact for our organization and play a critical role in maintaining a positive and professional image.

Key Responsibilities:
  • Front Desk Operations: Provide a warm and welcoming reception service, responding to inquiries, and redirecting calls to the appropriate person or voicemail.
  • Mail and Courier Services: Coordinate and liaise with couriers regarding mail to be sent to and from the office, ensuring timely and efficient delivery.
  • Housekeeping and Organization: Maintain a clean, tidy, and well-stocked environment in the kitchen, general office, meeting rooms, copy, and supply rooms.
  • Meeting and Event Planning: Book meeting/conference rooms and arrange catering when required, including planning and executing the delivery of a weekly lunch and a monthly celebration with desserts for employees.
  • Administrative Support: Process daily mail, purchase office and kitchen supplies, and provide general administrative assistance when required.
  • Safety and Security: Monitor building emergency and safety drills, and serve as the main contact for parking validations.
  • Document Management: Create and set up physical files, and document filing in physical folders when needed.
  • Confidentiality and Compliance: Maintain confidentiality and ensure compliance with company policies, procedures, and processes.
  • Teamwork and Communication: Establish and maintain interpersonal relationships, promote a positive work environment, and demonstrate a methodical approach to work with a strong focus on teamwork, organizational ability, communication, accuracy, and pride in the quality of work.
